A permanent position is available for a Secretary (H/F) in the Social Action Territory South West - Polyvalence Insertion Service (Area of intervention: Saint Pierre / Petite Ile).
Under the authority of the Service Manager, the Secretary contributes to the implementation of prevention and insertion policies on the territory. They mainly carry out administrative tasks related to the service's activities and follow the Polyvalence Insertion team's schedule.
Key duties include:
- Managing and tracking the dossiers in their area of intervention:
- Tracking monthly activity reports of social workers
- Updating dashboards
- Drafting convocation letters
- Updating partner phone directories
- Managing active files
- Providing secretarial support to the Service Manager, Social Workers, and Contracted Social Workers
- Formatting, presenting, and updating files:
- Writing various notes, transmission forms
- Updating administrative documents
- Taking meeting minutes for administrative teams
- Managing incoming and outgoing mail:
- Recording and processing incoming and outgoing mail on AIRS (convocations, return mails, acknowledgments of receipt)
- Managing and tracking different requests on the business software:
- Managing user convocations on GRSA
- Tracking mail exchanges on GRSA
- Receiving and distributing information:
- Distributing mail, documents, and service notes within the service
- Orienting and informing the public:
- Informing and directing different audiences (in person and by phone)
- Managing stocks and supply requests
- Classifying and/or archiving service files
- Tracking the Service Manager and Contracted Social Worker's schedule (meetings, vacations, appointments, etc.)
- Ensuring service continuity in case of a colleague's absence:
- Ensuring service continuity during absences and annual leave of secretaries and reception agents
Required skills:
- Open to the administrative territorial staff cadre
- Mastery of the regulatory and legislative framework of polyvalence insertion
- Knowledge of the functioning of the Collectivities and their environment
- Expertise in secretarial techniques
- Proficiency in office and IT tools (SOLIS, AIRS, NUXEO, PACK OFFICE)
- Ability to welcome the public with amiability
- Ability to manage stressful and conflict situations
- Ability to direct requests within services
