The Assistant Director, Project and Business Operations supports the operational and project management needs of the Chicago Booth Marketing and Communications team. This role manages marketing initiatives, campaign tracking, vendor coordination, budget administration, and reporting. The Assistant Director will assist in survey operations, rankings, accreditation projects, web help, invoicing, and global advertising project support. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with internal and external stakeholders.
Responsibilities- Supports project management for marketing campaigns, including creation and maintenance of logistical tasks and project timelines; tracks creative deliverables and deadlines; maintains asset version control and documentation; confirms campaign launch dates and logs live confirmations for marketing initiatives; and manages vendor logistics, communications, and follow‑up actions.
- Creates and manages comprehensive project timelines with a demonstrated understanding of project scope and requirements. Manages project deadlines and enforces work processes.
- Assists with the running of weekly status meetings and helps resolve issues, identifying the most efficient path to resolution.
- Provides ongoing support for survey operations, including coordinating data collection and supporting deployment.
- Assists with rankings and accreditation project management by tracking timelines and milestones, coordinating data collection requests, and maintaining auditable storage of rankings submissions and datasets.
- Applies AI‑driven tools, prompting techniques, and agent frameworks to support process automation, efficient information retrieval, and enhanced project outcomes.
- Supports webhelp administration and user requests as needed. Monitors the general departmental inboxes. Responds to all inquiries demonstrating a solid understanding of department operations and capabilities.
- Identifies and supports operational process improvements across marketing and business functions.
- Collaborates with internal departments and external partners to ensure timely execution and communication of project milestones.
- Oversees and executes the processing of expenses and invoices as well as budget management tasks.
- Coordinates events, researches logistics, assists with planning and preparing presentations, event outreach, and post‑event write‑ups.
- Assists with other administrative projects as needed and acquire higher level guidance and skills.
- Performs other related work as needed.
Minimum requirements include a college or university degree in a related field.
Education- Bachelor’s degree.
- Marketing and/or business operations experience.
- Background in higher education environments and rankings/accreditation projects.
- Proficiency with Airtable, Tableau, Workfront or other project management and data visualization tools.
- Strong organizational and communication skills; deliver accurate and actionable reporting.
- Working knowledge of marketing campaigns, project management, and basic financial principles.
- Demonstrated ability to multitask and prioritize in a fast‑paced environment with strict deadlines.
- Work independently, show initiative, and collaborate with cross‑functional teams.
- Professional demeanor with a customer‑service orientation and attention to detail.
- This position is currently expected to work a minimum three days per week in the office.
