Pre-Award Grants Coordinator

Under the direction of the Institutional Grants Development Director, the Pre-Award Grants Coordinator coordinates the development and submission of competitive grant proposals to secure external funding from federal, state, and local government agencies, as well as private and corporate foundations. This position also supports collaborative funding opportunities with external grant recipients seeking to collaborate with the college. The Pre-Award Grants Coordinator researches grant funding opportunities, identifies alignment between funder priorities and institutional needs, and collaborates with internal departments to develop proposals.

Responsibilities include gathering and analyzing data, writing proposals, coordinating supporting documentation, and ensuring all submissions comply with funders' guidelines, deadlines, and application requirements. The role also cultivates and maintains relationships with external partners to support collaboration, project development, and successful proposal submissions.

Duties & Responsibilities

Grant Coordination/Development

  • Researches, evaluates and coordinates grant eligibility processes including submission of letters of intent and applications
  • Researches and evaluates opportunities to obtain grant awards and investigates specific areas of interest on behalf of college programs and services; including following up with staff as appropriate and keeping college programs informed of grant opportunities
  • Collaborates with departments college-wide to develop grant applications that support college goals; including understanding their needs and matching them with grant opportunities
  • Coordinates the grant application process with college departments
  • Attends, coordinates and facilitates meetings with stakeholders as needed to support efficient and effective development of grant applications
  • Ensures that grant applications have been approved by the appropriate parties within the college (i.e. program office, Business Services, etc.)
  • Ensures grant applications, budgets, and attachments are high-quality, complete, and filed before submittal deadlines
  • Schedule or facilitate project meetings
  • Create project status presentations for delivery to customers or project personnel
  • Submit project deliverables to clients, ensuring adherence to quality standards
  • Serves as resource for grant writing; synthesizing input from multiple sources to develop and edit written content meeting grant requirements
  • Fosters relationships and contacts with college departments, federal, state, foundation, and corporate funders
  • Explores grant partnerships with other institutions and community partners when appropriate
  • Supports college efforts in responding to Request for Proposals for providing or receiving Contracts for Services similar to grants
  • Follows detailed record keeping process that allows compliance and strengthens institutional knowledge
  • Assists with post award negotiations with funders and implementation follow up

Grants Strategy Development

  • Develops strategy to secure alternative funding that supports the college mission and analyzes associated competitive position and risks
  • Develops and recommends procedures, guidelines, and practices for grant activities
  • Researches community and regional data using U.S. Census Bureau, Quality info, American Fact Finder, and other data sources
  • Maintains database system to research, develop and store comprehensive grant information

Grant Budget, Personnel & Compliance Oversight

  • Creates funder and college compliant budgets with project managers and grants accountant
