Job Description

This position is a regular instructional support role requiring 8 hours/day and a 188‑day work calendar.

Job Purpose Statement: The Instructional Assistant/Secretary I supports student learning and growth, provides receptionist duties and clerical support while working under the supervision of a licensed staff member or school administrator.

Essential Job Functions
  • Assist licensed staff in the social and educational development of students.
  • Implement district‑adopted curriculum and intervention programs with licensed staff guidance, including preparing materials, teaching and monitoring student progress, and providing small‑group instruction.
  • Collect data as prescribed by the licensed staff.
  • Understand and maintain district guidelines regarding safety and confidentiality.
  • Provide students a safe and secure environment at all times, including playground supervision, cafeteria duty, and small group management before and after school.
  • Administer minor first aid.
  • Provide clerical support and simple maintenance and operation of school equipment and supplies.
  • Prepare instructional materials related to area of assignment.
  • May provide personal care and assistance to students for the purpose of helping them access their education, including toileting, personal hygiene, feeding, positioning, mobility, and delegated nursing and/or therapy services.
  • Encourage acceptable student behavior and assist in maintaining classroom discipline, guiding and reinforcing student understanding of rules and procedures.
  • Participate in professional development activities related to assignment.
  • Maintain a confidential, non‑preferential, non‑judgmental manner toward students, staff, and the department/school.
  • Assist students by answering questions, providing proper examples, and offering general guidance.
  • Maintain student records and files as directed.
  • Compile student information and materials and prepare reports as requested.
  • Assist licensed staff with general phone calls to parents.
  • Maintain regular and predictable attendance to meet student and district expectations.
  • Employ good judgment in a variety of situations, including emergencies.
  • Develop and maintain effective working relationships with supervisor, staff, and the general public.
  • Comprehend and follow oral and written instructions and complete work within established timelines.
  • Confer, as needed, with licensed staff concerning programs and materials to meet student needs.
  • Answer the telecommunication system for the purpose of screening calls, transferring calls, responding to inquiries, and/or taking messages in both English and Spanish.
  • Maintain schedules (e.g., meetings, room schedules, bus schedules) for coordinating available space and activities.
  • Process documents and materials (e.g., schedules, agendas, mail, etc.) for disseminating information to appropriate parties.
  • Respond to inquiries from staff, the public, parents, and/or students for the purpose of providing information and/or direction as required.
  • Compose documents for communicating to staff, parents, and the community.
  • Assist other personnel as may be required for supporting them in completing their work activities.
  • Prepare timesheets for submission to administration for approval.
  • Evaluate situations (e.g., involving other staff, students, parents, public) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution, such as securing substitutes.
  • Perform other related clerical duties as assigned.
Experience Required

Prior job‑related experience providing support to elementary‑school‑aged children or adolescents is preferred, as is prior office/secretarial experience.

Education Required

Possess the equivalent of 72 quarter‑credits of college coursework (associate’s degree) or have passed the CBEST, ETS Paraprofessional Assessment, or another rigorously accepted knowledge test. Official transcripts or test results will be required upon hire.
