Academic Advisor
The Academic Advisor provides comprehensive academic, college, and career guidance services to students in grades 9-12. This position is responsible for coordinating student academic planning, graduation progress monitoring, testing programs, post-secondary readiness initiatives, and supporting students in achieving their educational and career goals. The Academic Advisor serves as a liaison among students, families, staff, colleges, and community partners to ensure students are prepared for success beyond high school.
Essential Duties and ResponsibilitiesAcademic Advising and Student Support
- Develop and maintain individual graduation and post-secondary plans for all students.
- Monitor student progress toward graduation requirements and identify students who are on track/off track for graduation.
- Meet regularly with students and families regarding academic progress, credit attainment, and future planning.
- Coordinate and facilitate Advisory programming and activities.
- Coordinate and facilitate Senior Seminar courses and activities.
Student Scheduling and Master Schedule
- Develop and maintain the school's Master Schedule in collaboration with administration.
- Coordinate student scheduling, including course requests, schedule changes, and placement decisions.
- Assist students in selecting courses aligned with graduation requirements, career interests, and post-secondary goals.
Testing and Assessment Coordination
- Coordinate and oversee all aspects of the following assessment programs: PSAT, SAT, PreACT, ASVAB.
- Responsibilities include:
Registration and scheduling, communication with students and families, test administration logistics, coordination with testing agencies, distribution and interpretation of results.
Graduation and Records Management
- Serve as the district's Transcript Specialist, maintaining accurate student transcripts and records.
- Monitor credit completion and graduation requirements.
- Coordinate graduation eligibility reviews and communicate requirements to students and families.
- Assist with commencement planning and verification of graduates.
College and Career Readiness
- Coordinate college visits, career exploration opportunities, and post-secondary planning activities.
- Serve as the liaison for TRIO and other college readiness programs.
- Coordinate Dual Credit opportunities and support student enrollment and participation.
- Maintain and oversee Recruit Hippo and other post-secondary planning platforms.
- Coordinate scholarship opportunities and provide support for college applications and financial aid processes.
Scholarship Coordination
- Coordinate and maintain information regarding local, state, and national scholarships.
- Facilitate the work of the Scholarship Committee, including application processes and scholarship selection procedures.
- Assist students with scholarship applications, essays, and deadlines.
Alternative Education and Credit Recovery
- Coordinate and monitor student participation in Odysseyware and other credit recovery programs.
- Monitor grading and progress for students participating in alternative learning opportunities.
Work Experience and Career Development
- Serve as the Work Experience Liaison between students, employers, and school staff.
- Coordinate student work-based learning opportunities and maintain required documentation.
- Develop community partnerships to expand career and internship opportunities for students.
Athletics and Eligibility
- Conduct regular Athletic Grade Checks and communicate eligibility information to students, families, coaches, and administration.
- Coordinate submissions and recognition for OSAA Academic All-State honors and other academic recognitions.
ASPIRE Program Coordination
- Serve as the school's ASPIRE Coordinator, including:
Recruiting and training mentors, coordinating student participation, facilitating college and career planning activities, maintaining program records and reporting requirements.
Additional Responsibilities
- Collaborate with administrators, counselors, teachers, families, and community agencies to support student success.
- Maintain confidentiality of student records and information.
- Prepare reports and maintain accurate records as required by district, state, and federal regulations.
- Attend professional development activities and maintain knowledge of college admissions, financial aid, and graduation requirements.
- Perform other duties as assigned.
Required Qualifications
- Experience in secondary education, counseling, academic advising, or student services preferred.
- Knowledge of Oregon graduation requirements, college admissions processes, and student information systems.
- Demonstrated ability to work effectively with students, families, and staff.
- Strong organizational and time management skills.
- Excellent interpersonal and communication skills.
- Ability to analyze student data and develop intervention plans.
- Knowledge of college and career readiness programs and resources.
- Ability to maintain confidentiality and exercise sound judgment.
