Clatsop Behavioral Healthcare has moved most positions to a 4 day 9 hour work week with paid 30 minute lunches to promote a better work life balance. Wages have also been increased for our valued current and future employees.
Position OverviewClatsop Behavioral Healthcare has an immediate opening for a full time Receptionist. The primary purpose of this position is to provide front line customer service, answer general inquiries in person and over the phone, check-in clients, and schedule appointments.
Additional duties include data entry, taking vitals for tele‑psychiatry, running daily insurance verification reports, and general administrative tasks such as answering phones, filing, copying, scanning, faxing, reviewing paperwork, and processing payments.
Responsibilities- Greet, welcome, direct visitors to appropriate staff.
- Answer calls, screen and forward incoming phone calls.
- Check in clients and status appointments daily.
- Follow up on messages and verify front desk screen of the electronic medical records.
- Take vitals (height, weight and blood pressure) for medical practitioners.
- Enforce fee payment policy; collect cash or credit card payments via phone or at check‑in; balance and close cash sheet daily.
- Schedule follow‑up appointments and notify clients of changes or updates.
- Provide opening paperwork to new clients, review for accuracy, and process according to the new client checklist.
- Run daily insurance verification reports (MMIS) prior to check‑in.
- Document information in the PHI disclosure log and memo to charts when necessary.
- Update calendars and schedule meetings.
- Send letters to clients (case closures, appointment letters, attendance policy letters, etc.).
- Make copies of forms that are running low (e.g., releases of information, application packets).
- Keep copier stocked and check fax machine throughout the day.
- Document and process returned mail; resend letters if address available.
- Verify clients’ identity and have them sign prescription log before distributing correspondence.
- Call clients to re‑engage in services following the attendance policy.
- Fax release of information forms to appropriate organizations.
- Keep work space tidy and HIPAA compliant to protect client information.
- Abide by mandatory abuse reporting policies as required by the State of Oregon.
- Perform other duties as assigned.
- High school diploma or equivalent.
- Excellent interpersonal communication skills.
- Strong phone skills; experience answering multi‑line phones with excellent customer service.
- Strong computer skills and accurate data entry.
- Ability to work in a crisis environment, de‑escalate situations when needed.
- Ability to work independently, problem‑solve, and communicate client and staff needs.
- Basic math skills (add, subtract, multiply, divide).
- Multi‑tasking experience with the ability to prioritize and balance duties.
- Knowledge or ability to learn about Medicaid, Oregon Health Authority (OHA), and related regulations.
- Excellent oral and written communication skills.
- Strong attention to detail and high organization.
- Knowledge of HIPAA and confidentiality protection.
- Ability to pass a criminal background check.
- Valid Oregon or Washington driver’s license and meeting agency insurance standards.
- 1‑2 years of experience as an administrative assistant or office specialist with public interaction and front desk reception.
- Bilingual in Spanish (10% bilingual wage bonus).

Employees are eligible for elective training reimbursement ($1,000/yr for unlicensed clinicians and $1,500/yr for licensed clinicians). CBH offers a sabbatical of 176 hours after 10 years of service and an annual elective training fund that includes 40 paid hours for training. Supervision towards licensure is available.
