Role Overview

The Leave Administrator plays a key role in supporting employees through leave requests and return-to-work processes. Working closely with the Leave Manager, you'll assist with leave administration, documentation management, compliance tracking, employee communication, and day-to-day operational support.

This role is ideal for someone who is organized, compassionate, and comfortable handling confidential information while providing excellent customer service.

Job Responsibilities
  • Assist employees with leave-related questions and provide guidance regarding available leave programs
  • Support administration of FMLA, CFRA, ADA accommodations, disability, pregnancy leave, workers' compensation coordination, and company leave policies
  • Process leave requests and maintain accurate employee records and documentation
  • Track leave timelines, certifications, deadlines, and return-to-work dates
  • Prepare leave-related correspondence and employee communications
  • Coordinate with managers, employees, benefits providers, and third-party administrators as needed
  • Review documentation for completeness and follow up on missing information
  • Maintain confidentiality of employee medical and personnel information
  • Generate reports and assist with leave audits and compliance reviews
  • Provide administrative support to the Leave Manager on projects, process improvements, and departmental initiatives
  • Assist with updating leave procedures, forms, and employee resources
  • Perform other HR and administrative duties as assigned

Qualifications

Leave Administrator Qualifications

  • 1+ year of administrative, customer service, HR, benefits, payroll, or related experience preferred
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks and deadlines in a fast-paced environment
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel
  • Ability to handle sensitive and confidential information with discretion
  • Strong problem-solving and customer service skills

Preferred Qualifications

  • Prior experience supporting leave administration, benefits, payroll, or HR functions
  • Knowledge of FMLA, CFRA, ADA, disability leaves, or related employment regulations
  • Experience working with HRIS, payroll, or leave management systems
  • Associate's or Bachelor's degree in Human Resources, Business, or related field preferred but not required

Corporate requirements:
Must be 18 years or older with a valid driver's license and clean driving record, able to pass a criminal background check and pre-employment drug screen.
