Job Summary

Under general supervision and in collaboration with other members of the health care team, performs reception duties, makes appointments, performs ECG examinations, and file room and dark room services in accordance with standard policies and procedures. Create, transfer and maintain radiology files as required using knowledge skills and abilities for all ages of patients served. Perform all duties in a manner that promotes Partnership values and reflects KPNW mission and values.

Responsibilities
  • File Room:
    Order, track, locate, and file radiology images, jackets and requisitions. Ensure all studies are prepared for the radiologist to read, have been read daily and manage and resolve Quality Assurance issues. Communicate with the health care team about any problems affecting the file room operation. Perform digitization and gateway management functions as necessary.
  • Reception Desk, Appointment Making:
    Greet patients in a friendly and professional manner to ensure optimal delivery of customer service to patients, members and co‑workers on the phone and in person using skills and abilities required for the age group served. Check patients in for exams accurately and timely, complete COPR forms correctly and/or any additional forms needed, handle challenging situations so that patient and organization needs are met, minimize emotional situations, and accommodate members when the organization has let them down.

    Ensure members receive proper written instructions and preparation information for exam. Pick up and deliver inter‑departmental mail if applicable. Maintain computer appointment schedule and files containing requisitions. Perform outreach calls as assigned.
  • Flow Coordinator:
    Manage department voicemail and incoming calls, coordinate member flow through the imaging area, serve as liaison to areas supported by imaging, communicate status updates to all involved parties, manage add‑on studies and coordinate transport, schedule STAT and urgent exams, assist with scheduling, and coordinate transport. Responsible for scheduling complicated studies and assisting with preparation of tumor board reviews. Prepare paperwork per modality, stock and tidy patient care and work areas, monitor schedule templates, make changes as directed, chaperone as needed, and perform reminder calls when appropriate.
  • Imaging Services Regional Records:
    Responsible for tasks covering Imaging Services Regional Records operations including requesting jackets from storage, purging records, answering telephone and voicemails, digitizing mammograms and general radiology exams, managing images and documents via the gateway, sending and receiving images on film and CD, and providing images and documents for release of information.
  • Imaging Services Regional Appointments Call Center:
    Responsible for answering the Imaging Services appointment line and scheduling all Imaging Services orders (MRI, bone density, ultrasound, CT, PET CT, EEG, nuclear medicine, fluoroscopy, diagnostic and screening mammograms, and other duties). Schedulers must meet quality and service standards, schedule accurately, order cabs and interpreters as needed, provide cost‑share information upon request, and provide exceptional customer service on every call.
  • Cooperate with other staff members wherever necessary, assist others in accomplishing their duties, and serve as a team player and role model in the organization with courtesy, caring, helpfulness, respect, and a service‑oriented manner.
  • Other duties:
    Answer telephone calls, ascertain caller’s needs, operate office equipment, maintain equipment and supplies in clean condition, and report malfunctions.
Experience

Minimum six (6) months of experience in a clerical position dealing with the public.

Education

High School Diploma or GED required.

License, Certification, Registration

Basic Life Support within one month of hire.

  • Efficient data entry and typing skills.
  • Dark room processing skills.
  • Multi‑line telephone skills.
