The Pleasant Hill School District is currently seeking qualified applicants for the position of Benefits and Human Resources Administrative Assistant.
QualificationsAssociate's Degree and one year of experience OR two to three years job-related experience.
Purpose StatementThe job of Benefits & Human Resources Administrative Assistant is done for the purpose/s of providing excellent customer service to our new and existing employees, support to the delivery of business services with specific responsibility for assisting with all aspects of employee benefits and benefit information; resolving insurance benefit, providing information to new and current employees, providers and/or administrators; ensuring employee proof of coverage and accurate billing;
providing information to new and current employees regarding policies, regulations; addressing a variety of issues and/or providing general support; and assisting in ensuring that personnel functions conform to all applicable regulatory requirements.
This position reports to the Assistant Superintendent and Director of Business & Finance
Essential Functions- Assists with employee benefit programs in compliance with carrier contracts (e.g. enrolling new employees, explaining benefit options, organizing benefit fairs, mediating benefit eligibility and payment issues, open enrollment, 403b/457b, etc.) for the purpose of providing maximum coverage to employees within contract specifications.
- Assists personnel, beneficiaries and/or insurance providers (e.g. online enrollment, employee portal, etc.) for the purpose of verifying eligibility, conveying information and accessing systems to view payroll information.
- Distributes documents (e.g. open enrollment packets, new/change forms, flyers, identification cards, etc.) for the purpose of providing information and proof of insurance coverage/s.
- Maintains a variety of benefit information (e.g. provider contracts, claim files, employee records, etc.) for the purpose of providing an up-to-date reference and audit trail.
- Participates in meetings and online training as assigned for the purpose of conveying and/or gathering information required to perform functions.
- Prepares written materials (e.g. reports, memos, letters, student IDs, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
- Processes a variety of benefit information for the purpose of completing enrollment/changes within program guidelines.
- Reconciles enrollment forms and billings to employee records (e.g. COBRA, disability, retirement, health, FMLA, Worker's Compensation, etc.) for the purpose of ensuring accurate eligibility and payment information and complying with contract provisions.
- Resolves conflicts with benefit providers for the purpose of verifying eligibility, conveying information and processing claims.
- Supports assigned administrators (e.g. preparing special reports, etc.) for the purpose of providing information from which to make operational decisions.
- Administers a wide variety of personnel policies and programs (e.g. time and attendance software; performance evaluation software, safety training, training of computer software, etc.) for the purpose of conforming to district policies, relevant laws, contracts and agreements.
- Assists with the onboarding of all new employees (e.g. new hire paperwork, process background checks, communicate start dates, data entry, badge and email access, etc.)
- Coordinates with internal and external sources (e.g. payroll department, benefits department, technology department, computer systems vendors, etc.) for the purpose of meeting district Human Resource requirements while complying with established guidelines.
- Develops a wide variety of written materials (e.g. wage agreements, employment contracts, forms, procedures, reports, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
- Maintains manual and electronic documents, files and records (e.g. labor contracts, vacancy listings, applicant tracking, reports, etc.) for the purpose of providing accurate information in compliance with established guidelines.
- Monitors a variety of process reports (e.g. online safety training, etc.) for the purpose of ensuring efficient processing of requirements and adhering to legal and/or administrative requirements.
- Processes documents and materials for the purpose of disseminating information to appropriate parties.
- Responds to written and verbal inquiries from a variety of internal and external sources for the purpose of resolving problems, providing information and/or referring to appropriate personnel and/or identifying the relevant issues and recommending or implementing a remediation plan.
