About the PositionThis skilled clerical and customer service position serves as a shared point of contact for the Department of Fleet Services, providing professional and responsive support to customers and staff. The incumbent performs a variety of administrative, clerical, and customer service duties, including responding to inquiries, processing records and documents, maintaining accurate information, and supporting daily departmental operations. The ideal candidate is organized, detail-oriented, and committed to delivering excellent customer service while effectively managing multiple priorities in a collaborative team environment.
EssentialFunctions
- Operates Fleet Services Customer Service Counter.
- Opens the fleet facility for business each day (Shift: Monday – Thursday 6:30 a.m. to 11:30 a.m.)
- Greets customers for vehicle and equipment maintenance / repairs.
- Receives customer phone calls and makes appointments for service, considering customer needs.
- Assists the Shop Supervisor in preparing work dispatch.
- Records and resolves customer problems and complaints and/or notifies appropriate Fleet Services staff.
- Opens work orders using the computerized fleet management system and routes to appropriate service section.
- Advises customer of vehicle problems and notifies customers when vehicles and equipment are ready for pick up.
- Maintains vehicle service files.
- Prepares various reports as needed.
- Chemicals – May be exposed to petroleum products, cleaning solvents, and fumes.
- Conditions – Work area may have noise and vibrations.
- Office – Primarily inside, but may have outside responsibilities and exposure to adverse weather.
- Field – May test drive or move vehicles.
Schedule:
Monday – Thursday; 6:30 a.m. – 11:30 a.m.

* This position is budgeted for a maximum of 1,040 hours during the fiscal year.*
Office Assistant 1 Training & Experience- Equivalent to the completion of the twelfth grade.
- One year of general clerical and office assistance experience.
- Equivalent to the completion of the twelfth grade.
- Two years of responsible clerical and office assistance experience.
An equivalent combination of experience and training that will demonstrate the required knowledge and abilities is qualifying.
Special Requirements- Must be in possession of a valid driver's license at time of application, and a valid Oregon Driver's license by time of appointment.
- This position is subject to a full background check.
- Must wear PPE as needed.
Skills and Abilities
(preferred)
- Thorough knowledge of the automotive service and repair trade.
- Comprehensive knowledge of the operations and systems characteristics of automobiles and light trucks.
- The ability to plan and organize the work of skilled mechanics and semi-skilled service workers.
- Good organizational and communications skills.
- Basic computer skills and be able to use a computer keyboard and mouse.
