Position Overview

FINNMARK is looking for a friendly, organized, dependable, and detail-oriented Administrative Coordinator to serve as a primary point of contact for customers, employees, vendors, and visitors while providing essential administrative and operational support to the Company.

Key Responsibilities

  • Serve as the first point of contact for customers, employees, vendors, and visitors, creating a professional and welcoming experience.
  • Manage a multi-line phone system, direct calls, respond to inquiries, and ensure messages are communicated accurately.
  • Coordinate incoming and outgoing mail, packages, company email inquiries, and deliveries.
  • Maintain a clean, organized, and professional reception area, conference rooms, and common spaces.
  • Assist with data entry, invoice processing, financial documentation, and recordkeeping.
  • Prepare reports, spreadsheets, presentations, and internal communications.
  • Maintain accurate digital and physical filing systems and ensure data integrity across business systems.
  • Identify and communicate discrepancies, missing information, or process issues.
  • Track administrative tasks, deadlines, facility needs, and warehouse deliveries.
  • Monitor and order office and kitchen supplies while maintaining inventory and budgets.
  • Coordinate meeting logistics, office events, and employee engagement activities.
  • Assist with office communications, employee recognition, and special projects.
  • Support daily office operations while collaborating with multiple departments to keep business running efficiently.

Qualifications

  • 2+ years of administrative, office coordination, receptionist, accounting support, or similar experience.
  • At least 1 year of accounting support experience.
  • Excellent customer service and professional communication skills.
  • Professional appearance and demeanor.
  • Highly organized with the ability to manage multiple priorities and meet deadlines.
  • Strong attention to detail, accuracy, and follow-through.
  • Proficient with Microsoft Office and comfortable learning ERP, CRM, and other business systems.
  • Ability to work independently while collaborating across multiple departments.
  • Experience in multi-family industry preferred.
  • Experience in service-based industries preferred.
  • Bilingual (English/Spanish) a plus.
  • Passionate about delivering excellent customer service.
