Program/Project Coordinator # Full-Time, Term in Socorro, Estancia, or Truth or Consequences, NM

The Seventh Judicial District Court is recruiting for one full-time, classified Program/Project Coordinator position for our Adult Drug Court Program in Sierra, Socorro, and Torrance counties. Acting under general direction, provide high-level administrative support, complete multiple special projects, and assist with the planning, organizing, directing, and management of a program or project.

Responsibilities
  • Provide administrative and clerical assistance in the development of programs or project plans.
  • Create detailed schedules to track the completion status of program goals and deadlines.
  • Track eligibility requirements and compliance with statutory eligibility for program participants or judges.
  • Act as point of contact during the absence of the Program or Project Manager.
  • Prepare requests for proposals, contracts, agendas, legislative materials, minutes, event programs, bulletins, reports, and newsletters.
  • Maintain a tracking system for items such as responses to proposals, contracts, and purchase requisitions.
  • Reconcile travel arrangements for multiple parties and prepare travel reimbursement requests.
  • Schedule and coordinate appointments, meetings, events, and facility usage.
  • Develop a system to track and monitor the budget of programs and provide budget reports.
  • Coordinate and organize the financials and logistics for workshops, special events, programs, projects, divisions, as well as court officials.
  • Audit financial, program, division, and project information to ensure quality assurance of records and data.
  • Evaluate data accuracy and integrity against data standards and standard operating procedures and provide recommendations for remediation of any errors.
  • Compile statistical data that assists in the evaluation of a judicial entity’s operations in relation to established goals.
  • Propose updates to current standard operating procedures based on best practices, statute and rule amendments.
  • Provide training using data standards, standard operating procedures, operating manuals and other resources.
  • Evaluate the effectiveness of training materials developed and provided to judicial entities.
  • Attend internal and statewide committee meetings.
  • Evaluate reports to identify errors, and improve data quality and overall management of programs and projects.
  • Perform other duties as assigned.
Qualifications

The successful applicant should demonstrate knowledge of program or project planning, coordination and implementation of a single program or multiple programs; state procurement rules and regulations; court or judiciary structure; research and problem solving techniques; state and federal grant compliance methods; court rules, policies, and procedures; basic principles of budgeting, cost analysis and fiscal management.

  • Education:

    Associate’s Degree in Criminal Justice, Business or Public Administration, social sciences or a related field.
  • Education substitution:
    Two years of experience in advanced executive level administrative, project management assistance, or directly related experience may substitute for education on a year‑for‑year basis.
  • Experience:

    Three years in business administration, public administration, court management, criminal justice systems, or related experience directly related to coordinating programs and projects.
  • Experience substitution:
    Secondary education in a related field may substitute for up to one year of experience. Thirty semester hours equals one year of experience.
