Job Summary
The Parts Coordinator is responsible for ensuring a high‑quality customer experience by managing the ordering, receiving, storing, dispatching, and returning of parts for each repair order. The role verifies the accuracy and quality of parts, maintains parts inventory, and keeps all parties informed of status and changes.
Key Responsibilities- Execute the WOW (Wow Operating Way) plan consistently.
- Communicate all customer requests and needs to the appropriate team members.
- Order and receive parts from vendors as indicated on repair orders, confirming quality, correctness, and quantity.
- Ensure timely parts distribution to the shop in accordance with the production schedule.
- Enter all parts invoices into the Management Information System (MIS).
- Label and track all parts by the R.O.# and store them with the vehicle and/or scheduled repairs.
- Communicate all parts price changes (PPI) to required team members.
- Order and receive supplemental parts in the MIS, monitor vendor performance.
- Reconcile the parts vendor invoice history report (e.g., 043 Report) daily.
- Post and file or scan vendor invoices and credit memos in a timely manner.
- Ensure vendor invoices include the correct negotiated discount to maintain proper profit margins.
- Other duties as assigned.
- High School Diploma or equivalent.
- 1‑3+ years of experience working with automotive parts (auto body parts a bonus).
- Customer service orientation with strong organizational ability.
- Ability to manage pressure, conflicting demands, and prioritize tasks.
- Working toward I‑Car Gold Class certification.
- Effective verbal and written communication.
- Strong attention to detail and a high degree of accuracy.
- Multitasking ability in a fast‑paced environment.
- Working knowledge of vehicle repair practices.
- Knowledge of MIS:
Summit, Repair Centre. - Knowledge of Mitchell, Audatex, Car‑part, Progi, APU, LKQ B2B sourcing.
- Solid problem‑solving abilities and above‑average computer proficiency.
- Above‑average organizational skills and teamwork orientation.
- Frequently required to bend, crouch, reach, and handle tools.
- Lift in excess of 50 lbs. of materials.
