Job Summary

The Division of Educational Ventures (DEV) is seeking a Business Operations Manager for a full-time (1.00 FTE), 12‑month professional faculty position. The role reports to the Vice Provost and is a critical member of the division leadership team, overseeing business operations including human resources, accounting and finance, facilities management, and various special projects. The manager provides direct, confidential support and consultation to the Ecampus Vice Provost and Associate Vice Provosts on strategic and tactical planning.

Key Responsibilities

Operations and Facilities Management (25%)

  • Acts as primary contact for Ecampus business operations and represents leadership with university partners regarding business functions and facilities.
  • Oversees the use of facilities, leading space planning, negotiation, construction, and assembly of workstations and work areas, and coordinating moves.
  • Participates with other unit leaders in day-to-day operations of Ecampus and attends directors’ meetings.
  • Researches, develops, and recommends administrative policies and procedures related to division operations, administration, and facilities.

Finance (25%)

  • Participates in budget development and monitors division’s operations budget activity.
  • Builds and tracks the division operations budget.
  • Serves as liaison with the university’s controller team to provide thorough and accurate budget and expenditure information to executive leadership.
  • Participates in projects requiring budget strategies and detailed budget information that inform the vice provost and associate vice provosts.
  • Serves as budget authority and purchasing approver for services and supplies related to the operations of the division.
  • Provides approval and signature for regular expenses up to $25,000; routes irregular purchasing requests to the vice provost for approval.
  • Oversees Foundation funds and provides review and approval of expenditures on Foundation accounts.
  • Ensures compliance with applicable laws, rules, regulations, and policy.

Human Resources and Culture (15%)

  • Serves as Ecampus resource for highly confidential human resource relations and activities involving organizational structure, classification, and compensation.
  • Liaison with the university’s human resources team to consult and ensure compliance with applicable laws, rules, regulations, and policy.
  • Participates in developing strategy for maintaining a welcoming and supportive workplace environment aligned with the mission and vision.
  • Strategizes with executive leadership to survey and assess the health of the division, identifying opportunities for improvement and implementing change.
  • Provides guidance to division supervisors on institutional and division guidelines, policies, and procedures.
  • Reviews and approves HR transactions.

Administrative Support Team Leadership and Supervision (20%)

  • Provides direction and leadership to the administrative support team, planning, assigning, and approving work; rewards/disciplines; responds to grievances; hires/fires; prepares and signs performance evaluations.
  • Identifies professional development opportunities and coordinates participation.
  • Directly supervises the division’s Office Manager, Business Associate, and Administrative Associate.

Project Management (10%)

  • At the request of the vice provost, oversees special division projects, including collaboration with internal units, cross‑campus units, and third‑party vendors.
  • Manages project details, coordinates work priorities, acts as liaison between leadership and project team, and monitors project status to ensure progress toward completion.

Professional Development and Service (5%)

  • Provides service to the unit and university by working on division and university committees and projects.
  • Represents the division at workshops, conferences, and meetings, presenting and sharing knowledge and expertise.
  • Acquires and maintains OSU Search Advocate status through training opportunities.
  • Participates in division, university, and community service opportunities that sustain an effective work culture.
