Position: Fulfillment & Events Coordinator (Temporary)

Summary

We’re looking for a highly organized and dependable Fulfillment & Events Coordinator to join our Field Operations team for the summer. In this fast‑paced role, you’ll support both incentive fulfillment operations and the planning and execution of Field Ops events. This is a great temporary opportunity for someone who is detail‑oriented, a quick learner, and a self‑starter. Please note this is a temporary position for May‑September 2025.

Primary

Responsibilities
  • Fulfillment Operations
    • Manage the end‑to‑end process for shipping and tracking prizes, swag, and rewards (including Awardco and Vivint Store items).
    • Monitor and maintain inventory levels in the Prize Locker; coordinate with vendors and place orders as needed.
    • Create and manage purchase orders; track incentive spending by manager/department and maintain accurate finance records.
    • Respond to Field Ops prize‑related inquiries and support ad‑hoc shipping needs for the Program & Culture team.
    • Assist with finance and tax reporting related to incentives when applicable.
  • Event & Competition Support
    • Assist in sourcing hotels, meeting rooms, and planning activities for upcoming fall events (e.g., Leadership Meetings, Champions Retreat).
    • Provide logistical support for competitions and recognition programs such as Summer Games, The Cup, and Referral Milestone.
    • Help prepare materials, ship event supplies, and coordinate event setup.
    • Provide additional administrative support for the Field Ops team.
Required Skills, Experience & Education
  • Required Skills:
    • Strong organizational and communication skills with a high attention to detail.
    • Proficiency in Excel.
    • Ability to work independently and manage multiple priorities.
    • High attention to detail.
    • Ability to thrive in a fast‑paced and dynamic work environment.
  • Required Experience &

    Education:
    • High school Diploma.
Preferred Skills, Experience & Education
  • Experience in fulfillment, logistics, inventory management, or event coordination.
  • 1–2 years of administrative experience.
  • Pursuing a degree in Accounting, Operations, Marketing, Communications, Business Administration, or related field.
  • Experience using Microsoft Office Suite, Airtable, and Asana.

Working Conditions

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
