Administrative Support II - Community Mental Health Clinic (Part-Time)

The UVU Community Mental Health Clinic provides accessible mental health services while training future clinicians. As part of our front desk team, you are often the first point of contact for clients seeking care, playing a critical role in creating a welcoming and professional experience.
What You'll Do
- Greet and assist clients in person, by phone, and electronically
- Manage scheduling, intake, and client assignments
- Maintain accurate, confidential records
- Support daily clinic operations and coordination
- 100% in-person role (front desk coverage required)
- Hours range:
- Mon-Thurs: 7:30 am - 9:00 pm
- Fri: 7:30 am - 5:00 pm
- Schedule flexibility is limited-must meet clinic needs
- Fast-paced during session transitions, quieter between sessions
- Strong communication and professionalism
- Ability to stay organized in both busy and slow periods
- Reliable, self-directed, and detail-oriented
- Comfortable working with diverse clients and students
- Preferred:
- Clerical or customer service experience
- Conversational Spanish fluency strongly preferred

- Acts as the first point of contact to potential and established community mental health clients. Greets, assists, and orients clients throughout the treatment process.
- Answers and screens incoming phone calls and emails, responds to messages, makes preliminary determination of client needs, and directs clients as needed.
- Gathers client initial intake information and enters it into the established records system, then assigns clients to the most available or appropriate service provider. Schedules clients for initial and ongoing therapy sessions and monitors staff daily schedules.
- Performs general office maintenance duties which include proper filing and disposing of office records, preparing reports, following up on missed appointments, acting as a liaison between clients and staff or outside providers, receiving and distributing mail, etc.
- Performs other job-related duties as assigned.
Graduation from an accredited institution with an associate's degree and one year of experience; OR any combination of education and experience related to the Summary of Duties totaling three years.
Preferred Qualifications:
Clerical work experience and Bilingual (English/Spanish) speaking preferred.
Knowledge / Skills / Abilities
Knowledge
- Some knowledge of general office practices and maintenance, filing systems, letter composition, grammar, spelling, punctuation; basic understanding of various software applications (e.g., Word, Excel, etc.),
- Basic knowledge of the operation of standard office equipment, basic accounting and bookkeeping, telephone and interpersonal communication etiquette, and public relations.
- Exceptional oral and written communication skills.
- High level of professionalism and ability to interact with the public, businesses, educators, faculty, interns, and families.
- Ability to take direction and work independently to meet deadlines.
- Ability to be entrusted with confidential information
- Ability to operate a desktop computer, phone, printer, and copy machine.
- Ability to quickly learn software for registering, recording, scheduling, and filing client data.
- Ability to develop effective working relationships with other staff.
