CSL Seqirus is a leading global vaccine company dedicated to advancing and protecting public health. We are seeking an experienced Executive Assistant to provide high‑quality, proactive, and confidential executive support to the Executive Vice President/General Manager of Seqirus and aligned Vice President within the Global Commercial Strategy & Planning function. The role is a hybrid position, requiring three days per week onsite in Summit, NJ.

Key Responsibilities
  • Executive & Operational Support
    • Provide end‑to‑end executive assistance to the EVP, anticipating needs and proactively resolving issues.
    • Act as a thought partner on workflow, prioritization, and time management.
    • Coordinate with senior leaders, EAs, and partners in Strategy, HR, Finance, and other functions to enable effective decision‑making.
    • Handle sensitive and confidential information with the highest degree of discretion and integrity.
    • Liaise across global leadership, functional teams, and external stakeholders.
    • Research, budget, organize, and coordinate events, leadership meetings, and offsites.
    • Screen inquiries and requests, and handle where appropriate.
    • Assist in planning to ensure optimal time utilization and meet tight deadlines.
    • Follow up on outstanding matters on behalf of the EVP/VP.
    • Produce presentations and reports for the Seqirus Leadership Team, Global Leadership Team, and Board as required.
    • Prepare documents for presentations, including slides, charts, and graphics.
    • Capture and track meeting outcomes, decisions, and actions.
    • Take minutes and distribute promptly.
    • Enhance departmental and organizational reputation by accepting new requests and exploring opportunities to add value.
    • Produce hospitality preparation.
  • Calendar, Email Inbox & Meeting Management
    • Manage complex global calendars across multiple time zones, balancing competing priorities.
    • Schedule, reschedule, and prioritize meetings across a range of sizes and complexities.
    • Prepare and distribute agendas, materials, and pre‑reads.
    • Manage email inbox according to EVP requests.
  • Travel & Expense Management
    • Coordinate complex global travel arrangements, manage risks, changes, and logistics.
    • Create detailed itineraries, coordinate visitor offices, and arrange office support in global locations.
    • Reconcile expense reports, invoices, financial documents, and check requests in compliance with policy.
  • Financial & Administrative Processes
    • Manage purchase requisitions, supplier onboarding, and invoice processing following P2P processes.
    • Track budgets related to events, travel, and administrative spend.
    • Ensure compliance with financial and procurement policies.
    • Collaborate with the EA network globally for alignment and coverage.
    • Support onboarding of new team members and coordinate team logistics.
    • Perform other duties as assigned.
