Responsibilities:
- Performs advanced and confidential administrative duties, including composing correspondence, meeting minutes, financial reports, and other administrative processes and procedures.
- Coordinates the processing of financial documents, including deposits, requisitions, purchase orders, travel requests, donations, etc.
- Informs students, faculty, and the public of Smith College of Engineering and Technology and university services.
- Responds to incoming calls and walk-in traffic, providing accurate information.
- Maintains inventory of office equipment and supplies.
- Establishes, updates, and maintains files, inventories, ordering, receiving, billing, distributing, monitoring, and reconciling expenditures.
- Coordinates meetings, schedules, and calendars.
- Coordinates and plans college-wide events.
- Performs other job-related duties as assigned or needed.
Graduation from an accredited institution with a bachelor's degree related to the summary of duties; OR any combination of education and/or experience totaling four years.
Knowledge- Knowledge of administrative office methods, techniques, practices, and procedures.
- Knowledge of basic accounting and budgeting procedures.
- Knowledge of Microsoft Office Suite of applications (i.e., Excel, Word, PowerPoint, Access, Outlook), and other software applications such as Google Drive, Dropbox, and Explorer.
- Knowledge of spreadsheets and experience with database management.
- Skills in office methods, techniques, practices, and procedures.
- Skills in the use of computers and computer software applications, including word processing, spreadsheets, email, internet, database, and presentations.
- Skills in the preparation and interpretation of reports, charts, graphs, and tables.
- Skills in interpersonal communication, problem-solving, and decision-making.
- Skills in customer service and phone etiquette.
- Ability to perform a variety of administrative support duties with minimum supervision.
- Ability to follow verbal and written procedures and instructions.
- Ability to communicate effectively, verbally and in writing.
- Ability to meet and work with people of various backgrounds.
- Ability to work independently.
- Ability to multitask, prioritize, and follow projects through to successful completion.
- Ability to maintain confidentiality with sensitive information.
- Ability to maintain calendars and schedules and track multiple projects simultaneously.
- Ability to prepare financial transactions and monitor budgets.
- Ability to follow verbal and written procedures and instructions.
- Ability to demonstrate professional demeanor and poise.
