Responsibilities:

  • Performs advanced and confidential administrative duties, including composing correspondence, meeting minutes, financial reports, and other administrative processes and procedures.
  • Coordinates the processing of financial documents, including deposits, requisitions, purchase orders, travel requests, donations, etc.
  • Informs students, faculty, and the public of Smith College of Engineering and Technology and university services.
  • Responds to incoming calls and walk-in traffic, providing accurate information.
  • Maintains inventory of office equipment and supplies.
  • Establishes, updates, and maintains files, inventories, ordering, receiving, billing, distributing, monitoring, and reconciling expenditures.
  • Coordinates meetings, schedules, and calendars.
  • Coordinates and plans college-wide events.
  • Performs other job-related duties as assigned or needed.

Graduation from an accredited institution with a bachelor's degree related to the summary of duties; OR any combination of education and/or experience totaling four years.

Knowledge
  • Knowledge of administrative office methods, techniques, practices, and procedures.
  • Knowledge of basic accounting and budgeting procedures.
  • Knowledge of Microsoft Office Suite of applications (i.e., Excel, Word, PowerPoint, Access, Outlook), and other software applications such as Google Drive, Dropbox, and Explorer.
  • Knowledge of spreadsheets and experience with database management.
Skills
  • Skills in office methods, techniques, practices, and procedures.
  • Skills in the use of computers and computer software applications, including word processing, spreadsheets, email, internet, database, and presentations.
  • Skills in the preparation and interpretation of reports, charts, graphs, and tables.
  • Skills in interpersonal communication, problem-solving, and decision-making.
  • Skills in customer service and phone etiquette.

  • Ability to perform a variety of administrative support duties with minimum supervision.
