Position Announcement

As an Administrative Support professional at Utah Valley University, you will play a vital role in helping a dynamic department operate efficiently and effectively. From facilities scheduling and student employee hiring to marketing support and administrative coordination, you'll serve as a key resource within the department while building professional relationships and contributing to UVU's mission of student success and excellence.

Summary

of Responsibilities
  • Provide advanced and confidential administrative support, including preparing correspondence, meeting minutes, and reports; managing faculty activity databases; and maintaining knowledge of university policies and procedures.
  • Coordinate the preparation and submission of departmental reports, publications, newsletters, and other documentation.
  • Manage departmental financial activities, including payroll processing, timecards, hiring paperwork (PAFs, ESAFs, EPAFs), requisitions, travel requests, purchase orders, catering orders, index tracking, and budget reconciliation.
  • Serve as the first point of contact for students, faculty, and visitors by answering phones, assisting walk-ins, and providing accurate information about university and departmental services.
  • Maintain and monitor inventory of office supplies and equipment; manage ordering, receiving, billing, and distribution of materials.
  • Support department leadership by facilitating communication, acting as a liaison with the Dean's Office, assisting with problem resolution, and performing other duties as assigned.
Qualifications / Licenses / Certifications

Graduation from an accredited institution with a bachelor's or an associate's degree and two years of experience related to the summary of duties; OR any combination of education and/or experience totaling four years.

Preferred Qualifications: Graduation from an accredited institution with a bachelor's degree plus one year of experience related to the Summary of Duties; OR any combination of education and/or experience totaling five years.

Knowledge / Skills / Abilities

Knowledge

  • Knowledge of office operations, event planning, marketing communications, and university procedures & policies.
  • Proficiency in Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint) and other business software.
  • Strong written and verbal communication skills, including grammar, proofreading, and professional correspondence.
  • Knowledge of Qualtrics, Power BI, Copilot, or similar AI bots.

Skills

  • Skilled in preparing and interpreting reports, charts, and budgets.
  • Excellent organizational, time management, and multitasking abilities with strong attention to detail.
  • Effective interpersonal, customer service, and problem-solving skills.

Abilities

  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Comfortable working independently and collaboratively in a fast-paced environment.
  • Willingness to support occasional evening/weekend events and adapt to shifting priorities.
