Position Announcement

Utah Valley University's College of Science seeks a detail-oriented and proactive individual to provide essential administrative support for their Department of Quantitative and Mathematical Reasoning. This role is ideal for someone who enjoys variety in their work and takes initiative in managing both routine and complex tasks. No two days are the same. Responsibilities include coordinating meetings and events, supporting department chairs in budget monitoring, and assisting with recordkeeping.

You'll also play a key role in facilities scheduling, student employee hiring, and ensuring smooth day-to-day operations.

This position fulfills a key role in providing clerical and administrative support to the Mathematical and Quantitative Reasoning Department Chair and faculty. Specific duties include, but are not limited to: answering phone calls, budget tracking, fund transfers, workload reports, class scheduling, book orders, keeping departmental records, filing, managing student workers, and other departmental projects and tasks. Coordinates and facilitates meetings, program functions, and/or special events, as appropriate.

Summary

Of Responsibilities
  • Processes department payroll, ePAF and eSAF submissions, requisitions and purchases. Tracks pro-card transactions, administers the TIMS management system for the department, and orders supplies and equipment. Maintains inventory of office equipment and supplies and administers other office duties as needed, which may include supervision of office support.
  • Answers phone calls and responds to e-mails and walk-in students, advising and redirecting students. Supervises student workers and manages operational activities in the department, including support for faculty.
  • Files and updates department information. Documents meeting minutes and creates, maintains, and updates spreadsheets and department records. Assists with scheduling.
  • Performs other job-related duties as assigned.
Qualifications / Licenses / Certifications

Graduation from an accredited institution with a bachelor's degree related to the Summary of Duties or any combination of education and/or experience totaling four years.

Preferred Qualifications

Experience as an event planner plus basic math education in statistics is preferred.

  • Knowledge of best practices in administrative support.
  • Knowledge of FERPA.
  • Knowledge of standard organization within academic departments.
  • Knowledge of various computer software applications, including word processing, spreadsheets, email, internet, databases, and presentations.
