Overview
Utah Valley University is seeking a part-time Event Coordinator to support the planning and execution of events across UVU’s Special Venues. In this role, the Coordinator works closely with the UCCU Center Associate Director and collaborates with department managers, event clients, venue leadership, and campus partners to ensure event details are gathered, clearly communicated, and effectively implemented. This position offers the opportunity to contribute to high-quality, well-coordinated events in a dynamic university environment, while building strong relationships across campus and delivering seamless, professional experiences for a wide range of audiences.
Responsibilities- Attends all necessary production meetings, work calls, rehearsals to coordinate and assist in the core planning and process of each assigned event. Coordinates event information, schedules, and requirements ensuring sufficient staffing and time allocation for all aspects of the production process, including load-in, rehearsals, performances, and strike.
- Works with the Associate Director and venue managers to maintain venue schedules, including production calendars and pre- and post-event work. Ensures spaces are fully prepped and ready on time for each event, and transitions smoothly to the next. Collaborates with the Production Manager and the Operations Manager to coordinate event needs.
- Coordinates client appointments and site visits to see venue spaces. Coordinates attendees for client meetings to include the most appropriate individuals to assist in planning and answering questions.
- Assists with tracking event finances including check requests, invoicing, and reporting.
- Performs other job-related duties, as assigned.
Graduation from an accredited institution with a Bachelor's degree or a combination of education and experience totaling 4 years.
QualificationsPreferred Qualifications:
- 4 years experience in events
- Knowledge
- Proficient using the latest versions of Microsoft Word, Excel, Outlook, One Note, PowerPoint, Access, and mail merges; email and web searches.
- Excellent communication skills, including writing, proofreading skills, and speaking.
- Excellent interpersonal skills both in person and by phone, with high professionalism.
- Skills in interpersonal communication, problem-solving and decision-making.
- Skills in customer service and phone etiquette. Good decision making/analytical skills to work effectively under tight deadlines.
- Ability to organize, prioritize and to handle multiple projects at once.
- Ability to accomplish projects with little supervision.
- Ability to demonstrate professional demeanor and poise.
- Ability to meet and work with people of diverse backgrounds.
- Ability to work independently, prioritize and follow projects through to successful completion.
- Ability to maintain confidentiality with sensitive information.
