Podcast Operations & Growth Coordinator

Just Ingredients’ podcast, Just Ingredients with Karalynne Call, has grown to 270K+ listeners and 78K followers — and we’re ready to take it further. We’re looking for a Podcast Operations & Growth Coordinator who can keep the show running like clockwork while also bringing fresh energy and initiative to how we grow and market it. This is a dual role: half operational excellence, half growth-minded marketing.

You’ll own the guest pipeline, scheduling, and production coordination, while also developing strategies to expand our audience across platforms. If you love podcasts, are highly organized, and have a genuine marketing instinct — this role was built for you.

• Manage the full guest pipeline — sourcing, outreach, vetting, and booking
• Schedule all recording sessions and handle guest logistics from first contact to publish date
• Create guest prep documents, episode briefs, and coordination emails
• Track episode timelines and maintain an accurate, current show calendar
• Coordinate with editing and marketing teams to move episodes smoothly through post-production
• Write episode titles and show notes for each episode
• Upload and publish episodes to Apple Podcasts, Spotify, You Tube, and additional platforms
• Manage guest travel and reimbursements when applicable
• Maintain SOPs and organized systems for all podcast operations

• Develop and execute a podcast growth strategy across platforms
• Manage the show’s presence on Apple Podcasts, Spotify, You Tube, and social media
• Identify cross-promotion, partnership, and guest-swap opportunities
• Track listener metrics and bring data-informed recommendations to the team
• Support episode promotion in collaboration with the broader marketing team
• Bring new ideas for audience engagement and listener retention
• Research trends in podcast growth and health and wellness content

• 2–3 years of experience in podcast coordination, administrative roles, or a closely related field
• Highly organized with strong follow-through — you don’t need to be reminded twice
• Clear, professional communicator in writing and in person — you represent Just Ingredients well with guests and external partners
• Marketing-minded with an understanding of how content grows an audience and ideas for how to do it
• Comfortable with scheduling software, Google Workspace, podcast platforms, and social media tools
• Genuine passion for health, wellness, and clean living — you get what this brand is about
• Experience in social media management, content marketing, or audience growth strongly preferred
• Thrives in a fast-moving, founder-led environment where ownership is expected
