Office Administrator/ Coordinator, Accounting Assistant
Purpose
The AP Coordinator-ICR is responsible for the timely handling and vouchering of invoices for suppliers and vendors. This position is responsible for handling all exceptions that arise after the automatic process flow of an invoice. The role requires a self‑starter, good organization, teamwork, and the ability to identify and follow through with improvement suggestions. The AP Coordinator-ICR will have direct contact with senior‑level management, including Vice Presidents and General Managers, requiring strong interpersonal communication skills both written and verbal.
Areasof Responsibility / Tasks
- Understand the process flow of all invoices (accruals and expenses).
- Teach system invoices using optical recognition software.
- Handle all exceptions where optical recognition fails.
- Ensure timely processing of invoices.
- Achieve volume goals as identified by management.
- Communicate improvement suggestions based on repetitive automatic processing failures.
- Collaborate with commercial team members for timely invoice processing.
- Assist in year‑end audit process.
- Handle additional special projects as assigned.

- Education:
- Associate’s degree in Business Administration, Accounting, or Finance preferred.
- Equivalent experience considered in lieu of degree.
- Experience:
- At least 1 year of experience in payment applications, deductions, collections, customer service, accounts receivable, accounting, and/or credit/collections, preferably in a similar industry.
- Licenses /
Certifications:- Valid driver’s license required.
- Language:
- Proficiency in English required.
- Bi‑Lingual – Spanish or Portuguese is a plus.
The position is hybrid, requiring a minimum of 3 days in office and work‑from‑home days. The work environment may involve a shared space with occasional noise. The incumbent must be adaptable to working with or without a private office.
Physical Requirements / Demands- Regular verbal communication and daily typing.
- Push, pull, and lift up to 40 lbs on a weekly basis.
- Travel by foot, car, bus, airplane, or other means as required, involving sitting, waiting, and standing for varying periods.
- Set up desk equipment, including connecting cables, requiring lifting and bending within a limited space.
