- Communicates professionally with internal and external stakeholders on behalf of the department, drafting emails, memos, and announcements as needed.
- Maintains up-to-date knowledge of institutional systems, administrative tools, and research requirements to ensure accuracy, efficiency, and consistency in all responsibilities.
- Provides administrative and logistical support to research investigators, departments, and programs across the organization, coordinating operations, scheduling, and project-related tasks.
- Manages calendars, inboxes, and meeting logistics for investigators and department leaders, including scheduling, agenda preparation, and follow-up communication.
- Coordinates department events, meetings, and seminars by arranging venues, catering, A/V support, and producing meeting materials and minutes as needed.
- Ability to work independently under strict deadlines while managing multiple projects, as well as in a team environment
- Ability to be responsible, organized, and a problem solver
- Strong attention to detail, analytical, time management, organizational, communication, and interpersonal skills
- Professional proficiency in Microsoft Office, Adobe Acrobat and the ability to learn department-specific computer systems as needed
- Knowledge and understanding of grant proposals and procedures, including previous experience with budgets, financial spreadsheets, and reconciliation of grant spreadsheets
- Associate [Preferred]
- An equivalent combination of education, training and/or experience from which comparable knowledge, skills and abilities have been attained
- 4+ of directly related administrative support experience [Required]
- Previous experience in an academic or scientific research environment [Preferred]
