We are seeking a dependable and detail-oriented Administrative Specialist to provide clerical and administrative support to an assigned division or department within a large, complex organization. This role assists with day-to-day office functions and ensures efficient administrative operations through accurate recordkeeping, data entry, scheduling, and internal communication.
The Administrative Specialist serves as a point of contact for employees and members of the public regarding routine inquiries and supports departmental processes including payroll coordination, document preparation, and general office support. The ideal candidate demonstrates strong organizational skills, attention to detail, professionalism, and the ability to handle confidential information in a structured work environment. Performs other duties as assigned.
Experience Requirements- Minimum of two (2) years of clerical, secretarial, or administrative support experience; or an equivalent combination of relevant education and experience
- Experience performing routine office and receptionist duties, including answering phones, greeting visitors, and routing inquiries
- Experience handling mail distribution, filing, record maintenance, and document processing
- Experience scheduling appointments and meetings
- Experience processing purchase orders and completing standard organizational forms
- Experience performing data entry with accuracy and attention to detail
- Experience coordinating timekeeping or payroll documentation with internal staff
- Ability to maintain confidentiality and safeguard sensitive information
- Strong organizational and communication skills
- Basic proficiency in Microsoft Word, Excel, Outlook, and other standard office software
- Ability to type at a rate of 40 correct words per minute
- Experience with word processing, spreadsheet, and presentation software
- Experience supporting a public-sector or regulated environment
- Familiarity with timekeeping or workforce management systems
- Ability to work at a computer for extended periods
- Ability to perform repetitive clerical tasks such as filing and data entry
- Ability to occasionally lift up to 10–15 pounds (files or office materials)
- Ability to participate in emergency response activities as required

- High school diploma or equivalent
- Strong organizational and customer-service skills
- Additional coursework or training in business administration, office administration, or related field
