We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive administrative support to management and professional staff within a large, complex organization. This role is responsible for performing advanced administrative duties, supporting divisional operations, conducting research, compiling data, and assisting with the coordination of meetings, boards, and departmental initiatives.
The Administrative Assistant prepares and edits correspondence, reports, meeting materials, and official documentation for leadership review and approval. This position requires strong organizational skills, discretion in handling confidential information, and the ability to manage multiple priorities in a structured, deadline-driven environment. The ideal candidate demonstrates professionalism, sound judgment, strong communication skills, and the ability to interact effectively with internal staff, leadership, external stakeholders, and members of the public.

- Minimum of four years of progressive secretarial or administrative experience, or an equivalent combination of relevant education and experience
- Experience performing complex administrative and confidential duties in support of management or professional staff
- Demonstrated ability to compose, proofread, and edit correspondence, reports, memoranda, spreadsheets, minutes, and other official documents
- Experience conducting research, data collection, and basic analysis to support reports, presentations, and meetings
- Experience coordinating meetings, preparing agendas, compiling supporting documentation, and recording and transcribing meeting minutes
- Ability to interact professionally with leadership, consultants, staff, and members of the public
- Experience maintaining records, logs, and data within software applications
- Ability to review documentation for compliance with organizational policies and procedures
- Strong organizational skills with the ability to manage multiple deadlines
- Ability to maintain confidentiality and exercise discretion
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience supporting boards, committees, or advisory groups
- Experience preparing materials for executive-level meetings or governing bodies
- Familiarity with public-sector administrative processes or regulated environments
- Experience coordinating public meetings, hearings, or formal proceedings
- Experience generating management reports and tracking departmental activities
- Ability to work at a computer for extended periods
- Ability to review detailed documentation for sustained periods
- Ability to occasionally lift up to 10–20 pounds (files, records boxes, or office materials)
- Minimal physical exertion
- Ability to participate in emergency response activities as required
- High school diploma or equivalent
- Strong organizational, written, and verbal communication skills
- Additional coursework or training in business administration, office management, or related field
- Ability to type at a rate of 40 correct words per minute
