Job Description:

Manages calendar, schedules meetings and appointments, and coordinates travel arrangements. Answers and screens incoming calls, takes messages, routes calls appropriately, retrieves voice messages, and greets and assists visitors. Provides administrative and secretarial support including opening and disbursing mail, composing and editing correspondence, preparing expense reports, and maintaining files and records. Supports leadership administratively with special requests including research, projects, and other miscellaneous duties.

Manages office supplies and equipment, ensuring availability and proper functioning. Schedules and organizes meetings and events, orders provisions and prepares agendas, and takes, transcribes, and distributes meeting minutes as appropriate. Prepares and updates presentations, spreadsheets, and other documents, ensuring accuracy and completeness. Assists with budget tracking, contracts, and other financial responsibilities, as needed. Serves as a committee member and/or lead/supervisor for various work teams including other administrative staff.

Other duties as assigned.

Knowledge, Skills, and Abilities:
  • Communicate and interact effectively and professionally with diverse populations, individually or as a team member, both in verbal and written communications [Required]
  • Excellent computer skills in word processing, spreadsheets, and databases, using programs such as Microsoft Outlook, Word, PowerPoint, Excel, Access, etc. [Required]
  • Maintain confidentiality, use discretion, and adhere to all corporate, legal, and regulatory guidelines, i.e. HIPAA [Required]
  • Self-motivated, with flexibility to multitask and prioritize in a stressful, fast-paced environment [Required]
  • Resolve issues with minimal direction or guidance, as well as work independently and as a team member [Required]
  • Professional attitude and conduct [Required]
  • Effectively utilize office equipment including fax, copier, printer, scanner, etc. [Required]
  • Meet ever-changing and multiple deadlines, managing day-to-day workflow [Required]
  • Detail-oriented, with strong proofreading and editing skills [Required]
  • Basic accounting, legal and/or contract administration knowledge [Preferred]
  • AH/AHS Sunport system [Preferred]
Education:
  • Associate [Preferred]
Field of Study:
  • in management, liberal arts, food and nutrition or business
Work Experience:
  • 5+ years minimum experience as an administrative or executive assistant, secretary, or other higher level administrative/office support role [Required]
  • Event planning/coordination experience [Preferred]
