Services include strategic planning, asset and investment management, trustee and estate management, and customized family office services.
Position OverviewThis position plays a central role in ensuring the smooth and efficient daily operations of the company. This position supports executive and senior leadership, oversees administrative workflows, coordinates operational tasks, and maintains a professional environment that reflects the company’s fiduciary responsibilities. The ideal candidate is detail oriented, has strong organization skills, and demonstrates the ability to think critically.
Education and Work Experience- Associate degree required;
Bachelor’s in a relevant field such as business administration, accounting, or communication preferred - Prefer 3+ years’ experience in office administration, client service, or project management
- Excellent organizational skills with the ability to manage multiple priorities
- Effective written and verbal communication skills
- Attention to detail and accuracy in completing tasks
- Strong analytical skills with the ability to research and troubleshoot challenges
- Professional demeanor and ability to interact with clients, vendors and senior management
- Ability to work both independently and in a team environment
- Proficiency with office software including Microsoft 365
- Oversee day to day office operations including office scheduling/calendar, supply ordering and management, vendor management, mail services and facility coordination
- Serve as a professional point of contact for clients, vendors, and partners
- Maintain accurate records of vendor contracts, and service agreements
- Manage document retention and storage systems, both electronic and physical
- Manage the process for electronic marketing communications
- Coordinate internal, board, and committee meetings, including preparation of agendas, minutes, and materials
- Support compliance officers with data collection, reporting, reconcilements, and examiner requests
- Manage maintenance schedules and record keeping for the company vehicle
- Assist with office security matters
- Coordinate employee appreciation and social activities
- Support onboarding and offboarding processes for employees, including equipment setup and access management
- Oversee office technology needs, including coordination with IT providers for system access, troubleshooting, and equipment ordering and maintenance
- Support implementation of new software tools and workflow improvements
- Maintain user inventory records and access logs
- Support preparation of operational reports for management
- Process client account transactions and maintain financial reports/schedules
- Perform administrative tasks related to account maintenance, documentation/filing, and client communications
- Assist in preparing materials and reports for client meetings
- Assist with researching and resolving client matters
- Coordinate annual holiday card and gift selection and distribution
This position allows qualified candidates to assume increasing levels of responsibility as appropriate. Success will be dependent upon a candidate’s ability to demonstrate initiative. Compensation will be commensurate with experience.
