The executive assistant provides high-level administrative support to company executives by conducting research, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings for executives.
Job Responsibilities- Manage an extremely active calendar; complete expense reports; compose and prepare correspondence; arrange complex and detailed travel plans, itineraries, and agendas; compile documents for travel-related meetings.
- Communicate directly, on behalf of the Executive, with executives, administrative and management personnel on all matters related to the organization.
- Research, prioritize and follow up on incoming issues and concerns addressed to the Executive, including sensitive or confidential issues. Determine appropriate course of action, referral or response.
- Manage multiple projects in a fast‑paced environment and prioritize projects that require the Executive’s involvement, including off‑site high level visits, arranging facilities, IT support, catering, issuing information and invitations, and working alongside other internal departments as needed.
- Work closely and effectively with the Executive to keep them well informed of upcoming commitments and responsibilities, and help to build relationships crucial to the success of the organization.
- Maintain focus and results‑orientation in supporting complex, deadline‑driven operations, able to maintain goals and priorities and resolve issues early.
- Assist with personal matters.
- 5–10 years experience supporting C‑suite level Executives.
- Bachelor’s degree preferred.
- 5–10 years experience with calendar management, arranging travel and meeting coordination.
- Highly analytical, discreet and diplomatic.
- Strong project management skills and detail oriented.
- Robust network and interpersonal communication skills, including written communications (English‑Spanish).
- Self‑confident, resourceful with stakeholder‑oriented thinking and a well‑rounded business perspective.
- Experience in a high‑volume, fast‑paced environment with strong attention to detail.
- Ability to exercise discretion with confidential information.
- Capability to work extended hours as necessary.
- Ability to work with standard office/computer equipment.
- Capable of working in an open office environment.
- Requires walking, sitting, lifting, pushing, pulling, and climbing to a significant degree.
- Exerting up to 20 pounds of force occasionally, and/or a negligible amount of force frequently. Job involves sitting most of the time, but also involves walking or standing for brief periods of time.
- While performing the duties of this job, the employee is regularly required to talk and hear, in order to communicate to employees/visitors.
