Position Overview
This position reports to the Administrative Services Manager I and provides specialized administrative support and assistance to the managers, environmental specialists, and staff assistants.
Responsibilities- Review quarterly inspection assignments for quality assurance, assist in tracking assignments, reconcile and archive records.
- Screens and responds to calls or emails, referring them to appropriate staff and relaying information to the radiation emergency response section when needed.
- Track and document state vehicle maintenance and repairs, calibrations of radiation inspection equipment, obtain approvals, prepare p‑card requisitions, and process receipts and reconciliations.
- Receive, sort, and distribute incoming mail; process outgoing mail; prepare correspondence, forms, reports; order supplies and materials to avoid shortages.
- Provide environmental specialists quarterly personal monitoring devices, exchange badges, mail used badges for exposure readings, offer annual escort badges, distribute exposure reports, and maintain file copies.
- Prepare routine and non‑routine travel requests, track authorizations, and prepare travel reimbursements, including documents for reimbursement by the U.S. Nuclear Regulatory Commission.
- Perform other related duties as required.
Knowledge of operations and administrative practices, My Florida Marketplace, Microsoft Office, purchasing practices and procedures, travel rules, fiscal policies, proper punctuation, spelling, grammar, supervisory principles, public records law, and personnel rules. Ability to train employees, prepare operating procedures, meet deadlines, work independently, communicate verbally and in writing, use telephone etiquette, plan and coordinate work assignments, solve problems, proofread materials, and manage data alphabetically or numerically.
Qualifications- Minimum
:
Willingness to work before, during, or beyond normal hours in emergencies; authorized to work in the United States without employer sponsorship; in‑office position only; must have a valid Florida driver’s license. - Preferred
:
Two years of administrative/office experience; high school diploma can substitute for one year of experience.
