The IT Administrative Coordinator will provide administrative support to the Information Technology Team.
Roles and Responsibilities- Provide executive level administrative support to the Directors and VPs for the Information Technology team
- Serve as a backup for a peer executive administrative assistant
- Schedule meetings and conference calls
- Manage the Information Technology workspace – ordering office supplies, maintaining office cleanliness, and organizing equipment
- Arrange candidate interviews, prepare itineraries, and make travel arrangements
- Enter and process IT invoices
- Schedule, coordinate, and manage all aspects of IT and vendor meetings
- Sort, prioritize, and distribute mail
- Proactively handle and resolve routine issues
- Create, organize, and update files and reports
- Involve in special projects and manage these projects with minimal supervision
- Prepare and edit Word documents, PowerPoint presentations, and Excel files
- Assist with new hire setup, orientation, and employee terminations as needed for the department
- Order office supplies; maintain office supply inventory and control costs
- Handle information in a confidential manner with high integrity
- Interact professionally with all levels of the organization as well as outside vendors and partners
- Strong computer and technology skills (Windows, Excel, Word, and PowerPoint)
High school diploma or equivalent required
Other Key Qualifications- Strong sense of urgency, ability to handle multiple tasks, balance priorities, and meet competing deadlines; superior organizational skills
- Exceptional teamwork and interpersonal skills; enjoys working with multiple customers; courteous, creative, enthusiastic, positive, and customer‑oriented professional
- Self‑starter who engages appropriate resources as needed and works independently
- Ability to appropriately handle sensitive and confidential information with high discretion
- Sound judgment to make accurate, efficient decisions
- Excellent organizational and follow‑through skills, attention to detail
- Excellent written and verbal communication skills; ability to interact professionally with others
- Strong desire to learn new skills
- Flexibility to work overtime, if needed
- Previous administrative and IT experience
- Prior experience supporting multiple leaders
- Prior experience with Oracle invoice management (a plus)
