At HDR, the Senior Administrative Assistant serves as the primary point of contact for visitors and the first individual to greet guests. This role supports overall office operations, manages office supplies, coordinates meetings, and provides comprehensive operational support to a staff of over 160 employees and senior management.
Responsibilities- Lead front‑desk and reception functions, answering and directing incoming phone calls.
- Coordinate meeting logistics, including use of conference rooms and ordering lunches as needed.
- Order and maintain all office, kitchen, and operational supplies to support daily business needs.
- Manage mail, deliveries, and shipping requests.
- Process expense reports, invoices, and light accounting tasks.
- Support onboarding of new employees, including paperwork, badge creation, and workstation setup.
- Act as primary contact for facilities‑related services such as cleaning, maintenance, and kitchen appliances.
- Provide general administrative and operational support to senior management and office staff as needed.
- Perform other duties as assigned.
- Associate degree or equivalent experience.
- Seven or more years of comparable duties or administrative support experience.
- Strong organizational, communication, and multitasking skills.
- Professional demeanor with the ability to interact effectively with employees and visitors.
- Ability to handle confidential information.
- High school diploma or equivalent.
- Minimum of three years of administrative support experience.
- Knowledge of MS Office Suite, including Word and Outlook.
- Excellent verbal and written communication skills.
- Professional, self‑motivated, well‑organized, detail‑oriented with flexibility to prioritize multiple tasks in a fast‑paced environment.
- Ability to meet deadlines.
- Knowledge of A/E industry is desired.
- Experience working in an office environment.
- Commitment to an employee‑owned culture.
