Our promise to you:
The Administrative Specialist provides general administrative support for the daily activities of the department including support of the director, manager, and other members of the team.
Schedule: Part Time (Weekends Only)
Time: Friday - Sunday 7am-3:30pm.
Roles and Responsibilities:
- Provides general administrative support to the assigned department on a daily basis.
- Updates department resources (e.g., map of geographic area, team lists, clinical events such as new admissions or discharges).
- Prepares paperwork for department or team meetings.
- Assists manager with department schedule as needed.
- Acts as scheduler and prepares schedule or calendar for manager, team members, etc.
- Assists manager with timekeeper and payroll duties for department team members as necessary.
- Utilizes and updates electronic medical record with records or other administrative items as necessary.
- Prepares paperwork for hospice transactions (e.g., transfers, respites).
- Prepares and sends letters as necessary.
- Routes phone calls to the appropriate person.
- Participates in staff meetings, department meetings, team meetings, in‑services and other related activities.
- Attends educational and developmental seminars and meetings, as deemed appropriate.
- Orders supplies as needed.
- Troubleshoots minor issues with office equipment when necessary.
- Performs other duties as deemed necessary by Manager or designee.
The expertise and experiences you’ll need to succeed:
Knowledge and Skills Required- Demonstrates ability to communicate by reading, writing and typing legibly, speaking and comprehending English effectively in order to carry out job requirements.
- Knowledge of electronic medical record.
- Ability to complete Hospice Orientation and Training as necessary.
- Has working knowledge of Excel.
- Previous experience with customer service and administrative duties.
- High school diploma or GED is required.
- Minimum of 2 years related administrative or clerical experience is required.
- Healthcare experience is preferred.
