Real Estate Office Manager
We are seeking a highly motivated and detail-oriented Property Administrator. The Property Administrator provides comprehensive administrative and operational support across a portfolio of industrial assets, ensuring efficient day-to-day property management and high-quality tenant service. This role supports financial processes including accounts receivable, accounts payable, collections, and invoice dispute resolution, while coordinating tenant move-ins and move-outs, maintaining accurate records, and managing vendor and tenant setup and compliance (including insurance tracking).
The Property Administrator serves as a key point of contact for tenants, assisting with platforms such as Commercial Café, handling work order intake and follow-up, and coordinating vendor scheduling in alignment with Property Manager direction. Additional responsibilities include maintaining organized digital files, supporting property inspections, preparing commencement letters, managing vendor contracts, and overseeing office supply inventory. This position plays a critical role in maintaining smooth property operations, occasionally representing the Property Manager in meetings, supporting tenant engagement initiatives, and ensuring consistent execution of administrative processes across the portfolio.
- Administrative support for the whole portfolio
- A/R and A/P processing
- Collections
- Move in/out coordination
- Assist tenants with Commercial Café
- Work Orders (assist tenants and follow up)
- Vendor insurance
- Tenant insurance
- Vendor set up
- Tenant set up
- Set up files and information in BOX
- Track property inspections and address internal work orders
- Occasional property inspections
- Filling in for a PM on occasional meetings when PM is unavailable
- Tenant appreciation events
- Vendor contracts
- Supply inventory for both management offices
- Creating commencement letters for PM review
- Invoice dispute resolution
- Set up vendor appointments for work orders as per PM
Education:
- Bachelor’s Degree in Business, Finance, Real Estate, or other related fields of study is preferred.
Experience:
- Possess at least two years of multi-tenanted asset management experience.
Technical
Skills:
- Proficient with Microsoft applications (Word, Excel, Outlook, etc.) and Yardi Voyager; prior experience using Yardi Voyager is preferred.
