Job Overview

Regal Cinemas is seeking an Administrative Assistant for the Regional Director’s Office located in Orlando, FL. This part‑time position works approximately 24‑30 hours per week and supports the Regional Operations Director with schedule management, travel arrangements, report generation, file maintenance, invoicing, email management, and communication coordination.

Essential Duties and Responsibilities
  • Maintain confidentiality and manage the Regional Director’s complex diary.
  • Monitor and manage the Regional Director’s email inbox and arrange internal and external meetings.
  • Manage all travel arrangements, produce itineraries, and coordinate with other PA’s and Regional Administrators for integrated travel and meeting arrangements.
  • Coordinate regional tours and meeting attendance, collate information, data, and produce reports to support the Operations Director.
  • Monitor DMA performance, track District Manager PTO, weekend working, and visits, and collate all Regional report tracking.
  • Plan and prepare for meetings, produce presentation decks, attend minutes, and produce briefing papers and reports.
  • Process invoices, reconcile, create purchase orders, and coordinate with Finance to ensure supplier payments are up to date.
  • Support other members of the Operations team, undertake ad‑hoc projects and research, and take ownership of tasks pertaining to the Region.
  • Maintain regular and consistent attendance.
Qualifications
  • High School Diploma or equivalent required; college degree preferred.
  • Prior experience supporting senior level management required.
  • Excellent PC skills including Microsoft Office and Outlook; strong attention to detail, accuracy, and numeracy.
  • Excellent interpersonal, verbal and written communication skills; strong organizational and time‑management abilities.
  • Flexibility, positive ‘can‑do’ attitude, willingness to take on all tasks, big or small.
  • Ability to travel to attend Regional Director meetings.
Work Environment and Physical Demands

The work environment is moderate noise level. The employee frequently stands, walks, sits, and uses hands to handle and feel, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl. The vision requirements include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus. The employee occasionally lifts up to 50 pounds.
