The Ninth Circuit seeks a Court Program Specialist I – Substitute Judicial Assistant to provide administrative, secretarial and clerical support to judicial offices when a sitting Judicial Assistant is away. The selected candidate will report directly to the Civil Case Management Coordinator and will support Judges across divisions with assignments of varying duration. The position is responsible for composing, editing and distributing court‑related correspondence, court orders, pleadings, memoranda, reports, e‑mails, and other documents while observing strict confidentiality;
screening telephone calls and visitors to the judge’s office, providing information, resolving issues, directing callers/visitors to the proper personnel or agency, or taking messages; scheduling trials, maintaining trial dockets, and preparing trial orders as needed; and entering data into an automated calendaring system. The position will also support general case management on an as‑needed basis.
- Compose, edit, and distribute court‑related correspondence, court orders, pleadings, memoranda, reports, e‑mails, and other documents while observing strict confidentiality.
- Screen telephone calls and visitors to the judge’s office; provide information, resolve issues, direct callers/visitors to the proper personnel or agency, or take messages.
- Schedule trials, maintain trial dockets, and prepare trial orders as needed.
- Enter data into an automated calendaring system.
- Support general case management on an as‑needed basis.
- Excellent organizational and computer skills.
- Ability to work independently and quickly become proficient with a variety of computer programs, including court calendaring, case‑management, and e‑filing systems.
- Professional and effective communication skills, both orally and in writing, with proper spelling, grammar, and punctuation.
- Working knowledge of trial courts and applicable rules and procedures of court.
- Minimal travel to outlying courthouses within Orange and Osceola Counties with mileage reimbursement; reliable transportation required.
- Bachelor’s degree in public or business administration, criminal justice, psychology, sociology, or a closely related field is preferred. Relevant professional administrative or analytical experience may substitute for recommended education on a year‑for‑year basis.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and Adobe.
- Knowledge of the criminal justice system and general knowledge of mental health and substance abuse.
