Job Responsibilities
- Coordinate calendars and meetings by sending meeting invites, assisting with meeting preparation and agendas, taking notes, and assigning action item tasks as needed.
- Coordinate production crew travel arrangements, including researching and booking flights, rental cars, hotels, and hiring drivers. Distribute travel information and help resolve travel issues as they arise. Work within and reconcile project travel budgets.
- Coordinate and manage social media accounts for business engagement, in collaboration with Adrenaline’s Social Media Team.
- Answer phones and transfer calls to appropriate members of the team.
- Answer the front door and direct guests and clients to appropriate locations in the building; receive packages and deliveries.
- Assist Producers and clients by conducting research for special projects, as needed.
- Assist with budgets, expense tracking, releases, and other work documents.
- Assist with organizing internal company events, including scheduling, ordering food and beverages, and coordinating with vendors.
- Research, purchase, and inventory company-branded merchandise for employees and customers, and order other year-end client gifts.
- Order and receive office supplies, prepare packages for shipment, and assist with other general business tasks.
- Attention to Detail: The Studio Assistant must be detail‑oriented to effectively manage tasks, resources, and communications critical to business operations.
- Multitasking and Time Management: The Studio Assistant will be involved with multiple projects, in different phases, and should be able to attend to all of them in a timely manner.
- Communication
Skills:
Excellent verbal and written communication skills are crucial for the Studio Assistant, as the job requires consistent interaction with clients and internal personnel.
- Bachelor’s degree in film and television production, or related field
- 1-3 years of experience as an assistant or similar position
- Proficiency with Microsoft Office and Google Docs
- Basic knowledge of budgeting and relevant software
