Overview
OUC - The Reliable One, a leading municipal utility in Florida, is seeking an Administrative Assistant III to join the Transmission Planning & Reliability division. The role provides administrative support to the Director of Transmission/Substation Construction and the Director of Operational Technology, coordinating information, maintaining systems accuracy, and communicating across internal stakeholders.
Responsibilities- Communicate clearly and manage multiple deadlines; navigate systems, processes, and workflows with attention to detail.
- Coordinate information and support department operations; back up other administrative staff as needed.
- Prepare agenda item packages for the commission; process invoices and approvals; maintain files.
- Schedule meetings, manage calendars, coordinate logistics for meetings and events; generate and edit PowerPoint presentations.
- Review budget information for multiple business units and follow up on corrections.
- Verify and approve vendor invoices in Tungsten Network; manage procurement card statements.
- Enter and track requisitions; support purchasing activities involving RFPs, bids, and contracts.
- Provide system training to staff on processes and procedures; assist with payroll-related activities.
- Other duties as assigned.
- High school diploma or GED; associate degree preferred.
- Minimum five (5) years in mid- to advanced-level administrative support, with experience supporting senior leadership and large operational teams.
- Proficiency in Microsoft Office; ability to learn JD Edwards Enterprise One, Chrome River, Tungsten Network, Documentum.
- Excellent written, verbal, and interpersonal communication skills.
- Public notary license in Florida preferred.

Salary Range: $27.308 - $34.135 per hour (Estimated $56,800.64 - $71,000.80 annually) commensurate with experience

Job DescriptionJob Purpose:
Provide advanced administrative support accurately and independently to management and department staff. Perform administrative functions such as handling correspondences, memos, time reporting, payroll, and scheduling meetings. Prepare reports, budgets, and administrative forms. Maintain employee files and schedule travel; prepare travel expense reports. Prepare agenda item packages for the commission. Maintain procurement card statements. Collaborate with and back up other administrative staff.
Process invoice payments and approvals.
- Coordinate development of commission agenda items with documentation and deadlines.
- Back up administrative assistants and executive assistants when out of the office.
- Assist in development of annual operating budget with the budget team and accounting.
- Prepare reports and records such as minutes, memos, expense reports, HR requisitions, etc.
- Review, reallocate, and reconcile procurement card charges.
- Process payroll-related activities and approvals.
- Maintain hard-copy and electronic files.
- Schedule meetings and coordinate department functions.
- Distribute mail; generate or edit PowerPoint presentations.
- Review budget information and follow up on corrections.
- Verify and approve vendor invoices in Tungsten Network.
- Manage office supplies; process requisitions; support purchasing activities including RFPs and contracts.
- Enter Foot Prints tickets for systems and access; provide training on systems, processes, and procedures.
- Perform other duties as assigned.
- Working knowledge of procurement, administrative financial practices, and software such as JD Edwards Enterprise One, Chrome River, Tungsten Network, Documentum, and Insight.
- Familiarity with industry regulatory guidelines and best practices; ability to apply financial understanding and effectively communicate within the department.
- Proficiency in Microsoft Office Suite and standard office equipment.
- High school diploma or GED; associate degree preferred.
- Minimum five (5) years in a mid- to advanced-level administrative role.
- Florida public notary license preferred.
