We are seeking a hands-on Administrative Assistant to support the Defense Division in Orlando, Florida. This role provides daily administrative and operational support for the Orlando facility and works with teams across multiple locations. The Administrative Assistant helps keep the site running smoothly by managing front desk visitors, shipping and receiving, inventory and asset tracking, and documentation related to facility operations, safety, and security.
The role requires accuracy, attention to detail, timely followup, and clear recordkeeping in accordance with company procedures. This position reports directly to the Orlando Business Manager and supports daytoday operations by ensuring routine tasks are completed correctly and on time.
Primary
Duties & Responsibilities:
- Front Desk & Visitor Support Greet visitors, verify credentials, log visits, and issue visitor badges
- Manage visitor requests, perform initial screening, and route requests for required approvals
- Coordinate vendor visits for maintenance and repairs, including scheduling and site access
- Purchasing, Logistics & Inventory Support Receive incoming parts, verify against purchase orders, label items, and place in appropriate storage locations
- Track purchase orders and monitor delivery status
- Coordinate shipments between Orlando, Boston, and Portland sites
- Support calibration tracking for onsite equipment
- Assist with asset tracking documentation in support of audits
Job Qualifications:
- Associate degree or equivalent work experience in administration, operations, or facilities support
- 3+ years of experience in an administrative or operations support role Strong organizational and documentation skills
- Ability to manage multiple recurring tasks with high accuracy and attention to detail Professional communication skills (email, phone, written documentation)
- Experience working with cross functional or multisite teams in a fastpaced environment
- Familiarity with facilities operations, safety/security support, or related administrative activities
- Experience with purchase order tracking, shipping/receiving, or logistics coordination
- Experience working in a regulated, controlled, or compliance driven environment
- Working knowledge of SAP or similar ERP systems (data entry and tracking level)
- Proficiency with Microsoft Office (Excel, Word, Outlook, Teams) Applicants must be a U.S. citizen
