What you'll bring to the team
The Executive Assistant provides high-level administrative and operational support to the North America Managing Director while ensuring the efficient day-to‑day operation of the Orlando Corporate Office. Approximately 60% of the role will support the SVP/Managing Director through executive level administration, calendar management, travel coordination, meeting preparation, and confidential business support. Approximately 10% of the role will provide administrative support to the North America Senior Executive Leadership Team, while the remaining 30% will focus on office management and the workplace experience.
The role requires exceptional organizational skills, sound judgment, discretion, confidentiality, and the ability to manage multiple priorities in a fast‑paced environment. The Executive Assistant serves as a key point of coordination across corporate functions, helping leaders operate efficiently while creating a welcoming, well‑organized workplace for employees and visitors.
This role will be fully onsite at our Orlando HUB Office.
Qualifications & ExperienceKey Responsibilities
Executive & Leadership Support
Calendar & Travel Management: Proactively manage complex, multi-time-zone calendars and arrange seamless domestic and international travel for the SVP/Managing Director and North America Executive Leadership Team (ELT).
Meeting Logistics & Prep: Anticipate executive needs by coordinating agendas, preparing briefing materials, and tracking follow‑up action items to completion.
Discretion &
Collaboration:
Handle confidential information with the highest discretion, support special projects, and collaborate closely with other Executive Assistants globally.Expense Management: Prepare, review, and submit expense reports accurately and on time.
Presentations & Communications
Executive Materials: Create, edit, and format high-level PowerPoint presentations, reports, and dashboards for internal and external meetings.
Brand Consistency: Ensure all executive communications and correspondence are accurate, professional, and visually aligned with Merlin branding.
Orlando Office Management & Operations
Daily Operations: Oversee the daily function of the Orlando Corporate Office, ensuring a welcoming, organized, and professional environment for employees and visitors.
Facilities & IT Support: Partner with IT and building services to manage office technology, shared equipment, maintenance requests, and physical access (keys, badges, visitor logs).
Vendor & Financial Admin: Maintain vendor relationships, manage recurring office contracts, process invoices, oversee supplies/mail, and support budget tracking for office operations.
Event Planning & Continuous Improvement
Events & Engagement: Plan and execute leadership meetings, town halls, company celebrations, and off‑sites, managing all logistics including space reservation, catering, and tech setup.
Process Optimization: Continuously identify opportunities to improve the employee and executive experience by standardizing office procedures and rolling out new administrative tools.
Experience and Qualifications
- 5+ years of experience supporting senior executives in an Executive Assistant role.
- Experience supporting C‑suite or senior executive leadership preferred.
- Exceptional organizational and time management skills.
- Advanced Microsoft Office skills, particularly PowerPoint, Outlook, Excel and Word.
- Proficient in preparing executive‑level presentations and reports.
- Experience coordinating domestic and international travel.
- Experience managing executive calendars and expense reporting.
- Strong written and verbal communication skills.
Demonstrated ability to handle confidential information with discretion. - Experience managing office operations, vendors and workplace logistics.
- Experience coordinating meetings, events and executive off‑sites.
- Ability to manage multiple priorities with minimal supervision.
- Strong customer service mindset with a proactive, solutions‑oriented approach.
- Bachelor's degree preferred or equivalent combination of education and experience.
