Administrative Coordinator
The Administrative Coordinator supports the Media and Production Operations team and provides essential administrative support to help the team stay organized, aligned, and prepared. The ideal candidate is highly organized, detail-oriented, proficient with technology and able to manage multiple priorities in a fast-paced environment. This position helps create structure behind the scenes so specialists and leaders can focus on thoughtfully planning and executing media and production activities.
This is for an onsite role located in Lake Buena Vista, FL. You will report to the Media & Production Operations Manager.
You Will:
- Provide general office management – keep up with multiple tasks, deadlines, and coordinate and drive responses effectively
- Order office supplies through Casual Buyer, manage purchase orders, partner with vendors, receive and track all deliveries to the office
- Create templates and maintain documents such as meeting notes, calendars, planning outlines, production trackers, schedules, contact lists, and team resources.
- Organize and maintain shared documents, folders, and files so materials are easy to find, consistently named, and up to date.
- Manage and obtain backstage clearance for non-residents
- Assist media and production specialists and leaders with planning tasks as needed
- Contribute to process improvements that make scheduling, documentation, and file management more consistent and efficient.
You Will Have:
- At least 1 year of experience working in a Walt Disney World Resort location or supporting Disney operations.
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, Teams, and One Note, as well as shared file platforms such as One Drive or SharePoint; experience with Smartsheet and the ability to learn new systems confidently
- Excellent verbal and written communication skills, with the ability to share information clearly and professionally
- Attention to detail with a focus on accuracy, consistency, and quality of work
- Time management, follow-through, and prioritization skills, with the flexibility to adjust to shifting daily needs
- Organizational skills with the ability to manage multiple schedules, priorities, and details simultaneously
- Ability to work effectively in a fast-paced environment while adapting to changing priorities and time-sensitive updates
- Ability to lift, carry, and move items weighing 10–25 pounds
Preferred Qualifications
- Knowledge of Walt Disney World onstage and backstage operating areas
- Ability to connect related information and be proactive
- Naturally curious and self-motivated, with a willingness to learn and improve processes
- Strong problem-solving skills with the ability to identify solutions and support timely resolution
- Desire to "solve for yes" with a commitment to creating a welcoming and inclusive environment
Education
- High school degree

The pay rate for this role in Lake Buena Vista, FL is $20.10 to $25.15 per hour. The base pay actually offered may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience, among other factors. Select benefits may be provided as part of the compensation package, such as medical, financial, and/or other benefits, dependent on the level and position offered.
