Salary Schedule Under general direction, the purpose of this position is to perform district-based duties associated with processing business and other operational records. Some analysis of solutions to situations is necessary to complete work; department resource for procedural direction for support staff. This position is that of a team leader or of a position that utilizes a narrowly defined area of technical expertise.
Employees in this classification are responsible for receiving and responding to complaints and inquiries from the public and assisting operators and monitors with required paper work. Performs related work as directed.
- Responds to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.
- Coordinates workload and schedules of clerical support staff when necessary for vacations, lunch time etc.
- Performs various technical and administrative duties in supporting daily district transportation activities.
- Receives and responds to public information requests, complaints or inquiries; provides resolution or directs to appropriate entity.
- Advises workgroup of departmental policies and procedures.
- Provides guidance and trains employees in workgroup.
- Prepares and maintains payroll reporting. Alphabetizes and processes various related forms. Verifies information, enters data, and ensures accuracy (e.g., certificate of absences, overtime, missed time clock punches).
- Provides assistance to employees to ensure leave requests and appropriate paperwork are completed correctly. Scans employee leaves to Personnel/Payroll in a timely manner.
- Responsible for processing drivers/monitors payroll sheets (TS-25s) and drivers/monitors time keeping documentation (e.g., TS-7/3, PA-133) Folds payroll summaries and distributes to appropriate mailboxes.
- Assists with compiling related information for route planning and with coordinating a schedule for route bid activities with Transportation staff and managers. Prints route updates for drivers. Prepares Trans Team rosters and distributes as needed.
- Tracks and processes AVL forms for late buses.
- Reviews yard list (i.e., compounds without garages) daily; updates Trans4U to ensure buses are tracked accurately.
- Responsible for drivers receiving field trip notifications in a timely manner. Ensures field trips are confirmed and sends reminders.
- Ensures adequate route coverage needs (e.g., sends updates to Routing, identifies new students, and makes certain that absent drivers and monitors have replacements).
- Monitors radio on a daily basis to support drivers as needed. Receives employee absentee call-ins and ensures dispatch has been notified on a daily basis. Prepares daily absentee list for assigned area.
- Maintains budget account strips, keeping balances, reconciling monthly reports, purchase orders, invoices, for the entire department or work location.
- Prepares invoices for billing customers. Analyzes vendor invoices and researches any variances.
- Diagnoses, tracks and solves hardware and software problems providing technical support, as needed (e.g. resets passwords, assists with completing online processes and forms).
- Provides assistance with bus incidents/accidents and student referrals as needed. Pulls videos, paperwork, and pictures; obtains witness statements if needed; and ensures drivers complete an incident report. Forwards all information to management for further investigation.
- Researches and conducts analysis of data to prepare district-level reports for the State Department of Education and other similar entities. Calculates and compiles statistical information pertaining to such programs as Florida Education Finance Program (FEFP) and Individuals with Disabilities Education Act (IDEA).
- Retrieves, tallies, enters, and reviews daily score card information (e.g., absences, arrival times, and accidents). Flags critical findings for management evaluation and follow-up.
- Coordinates and schedules area manager meetings. Responsible for creating sign-in sheets, ensuring mid-day coverage, reserving location, and preparing packets of transportation material for each driver/monitor.
- Handles miscellaneous items (e.g., reviewing and flagging various checks such as CDL, dexterity, and physicals; picking up/turning in DOE inspections).
- Assists at special events as needed (e.g., provides general assistance as needed; supports bus loop process of loading and unloading students).
- Monitors front desk and provides support (e.g., answers phone calls; gives guidance to employees, schools, and parents; passes out mail and office supplies); handles more non-routine issues as required.
- Assists drivers/monitors as needed (e.g., distributes route sheets; notes route preferences during the bid process; looks up student information; obtains electronic badges; hands out uniforms).
