DescriptionSummary:
The Maintenance Office Manager will oversee administrative operations, including timekeeping, payroll, budgeting, procurement, and internal communications. They will also manage schedules, reports, meetings, and daily office functions.
Responsibilities:
- Prepare purchase orders (POs) and maintain control of order receipts, ensuring proper organization and filing of all related documentation.
- Monitor and maintain office supply inventory levels, ensuring adequate stock and timely replenishment.
- Review and monitor negative guest reviews and create work orders when necessary to address maintenance concerns and prevent recurring guest complaints.
- Maintain accurate and up-to-date preventive maintenance records and documentation.
- Ensure all operational permits, licenses, certifications, and regulatory compliance documents remain current.
- Coordinate and maintain records of required inspections and preventive maintenance for life safety and operational systems, including elevators, kitchen exhaust hoods, fire pumps, hydrants, and other related equipment.
- Keep accurate records of timekeeping for Maintenance associates.
- Maintain the monthly budget and process payroll.
- Prepare weekly schedules, daily energy reports, and A/C schedule.
- Request PO's, purchase requisitions, and process orders.
- Responsible for processing invoices and coordinating with the Finance Department.
- Track vacation requests and days off.
- Manage daily office operations and handle incoming communications via telephone and radio.
- Coordinate meetings and informational postings.
- Comply with the company's drug-free and tobacco/nicotine-free policy.
- All other duties as assigned.
Experience/
Qualifications:
- Experience in office management, hospitality, and fast-paced environments required.
- Work experience with engineering and maintenance is a plus.
- Candidate will have to pass a grammar/typing test.
- Ability to lift to 25 lbs. consistently and 50 lbs. infrequently.
- Must be able to legally work in the USA.
Education and Certification(s)/License(s):
- High School Diploma or equivalent required.
