We are seeking a Client Services Coordinator to join our Maitland, Florida team. This is a full-time, in-office position.

Position Summary

The Client Services Coordinator is responsible for receiving and processing new investigative assignments, communicating directly with clients, and accurately entering assignment information into the case management system. This position assists with preliminary case setup, reviews incoming requests for necessary information, and works with clients and internal team members to obtain clarification or additional details when needed. As an in-office member of the Client Services team, this position is also responsible for managing incoming and outgoing mail, preparing documents and materials for mailing or shipment, receiving and uploading evidence and case-related materials, and ensuring all materials are properly routed and associated with the appropriate assignments.

This is a fast-paced role that requires exceptional customer service, strong attention to detail, and the ability to manage multiple priorities  ideal candidate is organized, dependable, comfortable communicating directly with clients, and able to work independently while taking initiative. Training is provided, with opportunities for growth within the company.

  • Receive, acknowledge, and process new investigative assignments from clients.
  • Accurately enter assignment information, client instructions, and supporting documentation into the case management system.
  • Review incoming assignments for completeness and identify missing or unclear information.
  • Communicate directly with clients by phone and email regarding new assignments, questions, missing information, and clarification of investigative requests.
  • Coordinate with regional management, Sales, and other internal team members when additional information or clarification is needed.
  • Assist with preliminary case setup and other initial case-related tasks before assignments are moved forward.
  • Receive, sort, and process incoming mail and ensure materials are routed appropriately.
  • Prepare and process outgoing mail, correspondence, documents, and case-related materials.
  • Coordinate shipping and mailing of evidence or other materials as needed.
  • Receive incoming evidence, documents, media, and other case-related materials and accurately upload or associate them with the appropriate case.
  • Maintain organized and accurate electronic and physical records.
  • Assist with additional Client Services and administrative responsibilities as needed.
