Role Responsibilities
Manage complex, shifting calendars, meetings, and domestic/international travel arrangements for the CEO and Executive Chairman of the Board, exercising independent judgment to resolve scheduling conflicts, competing priorities, and potential logistical issues before they impact the executives.
Anticipate the needs of the CEO and Executive Chairman, proactively identify and resolve scheduling, logistical, and communication issues, and respond promptly, accurately, and professionally to requests.
Prepare, coordinate, and manage materials for Board meetings, executive committee meetings, and other high-stakes engagements, including agendas, minutes, action-item follow-up, and polished Google/PowerPoint decks and materials for company-wide Standups and leadership meetings.
Act as a liaison between the CEO, Executive Chairman, Board, internal leadership, clients, investors, and external partners, representing executive leadership with professionalism, discretion, and composure.
Lead and coordinate special projects and cross-functional initiatives on behalf of the CEO and Executive Chairman, tracking progress and ensuring timely and accurate completion. On occasion, extend this support to travel, scheduling, and logistics for other individuals, including team members, outside subject‑matter experts, and program participants such as survivors, for initiatives like the company’s annual video shoot.
Manage complex expense reporting, budgets, and vendor relationships related to the executive office.
Coordinate and assist with high-profile events, offsites, and Board functions from concept through execution, including logistics and technology setup.
Conduct research and compile data to support strategic initiatives and executive decision-making, while continuously refining processes and systems to increase the efficiency and effectiveness of the executive office.
Maintain organized and secure electronic records and files, with a high standard of accuracy and attention to detail across executive‑facing deliverables.
Utilize AI tools within company security parameters, where appropriate, to improve efficiency, support decision‑making, and enhance work quality.
Work collaboratively with team members within and across departments to gain diverse viewpoints, identify needs, pool strengths and insights, and support inclusive goal completion aligned with the team’s and company’s strategic goals.
Serve as a model of professionalism, discretion, and composure for the broader administrative team and participate in and often help lead special projects and initiatives.
Perform additional duties and responsibilities as required to support the overall success of the executive office and company goals.
5+ years of experience as an Executive Assistant supporting C‑suite, President/COO, or Board‑level leadership, preferably within a fast‑paced digital marketing, technology, or professional services environment, and/or equivalent education (Bachelor’s degree) and experience.
Demonstrated ability to handle highly confidential and sensitive information with discretion, integrity, and diplomacy.
Exceptional written and verbal communication skills, with high emotional intelligence and the ability to represent executive leadership with professionalism, poise, and sound judgment.
Strong interpersonal, diplomacy, and relationship‑building skills, with the ability to build trust and effectively interact with executives, Board members, clients, investors, and external partners.
Advanced proficiency in Google Suite, with the ability and willingness to learn, adopt, and embrace new technology, AI, and automation tools.
Experience preparing Board‑level materials and supporting governance processes strongly preferred.
Ability to work independently with a high degree of autonomy while collaborating effectively across teams and departments.
Strong judgment and the ability to navigate ambiguity, assess priorities, and make thoughtful decisions in a fast‑paced environment.
