ADMINISTRATIVE ASSISTANT I
This open competitive advertisement is for a Career Service position located at Central Florida Reception Center. The Administrative Assistant I position provides exceptional support to the Warden by efficiently managing data, preparing comprehensive reports, and facilitating clear communication. The role maintains accurate, current, and secure office files and documents, ensures professional interactions with staff and the public, coordinates information and logistics for meetings and events, and compiles departmental reports to uphold the integrity and effectiveness of the Warden's office.
This position is not a telework position and is required to report to the FDC office in the area it serves.
JOB DUTIES:
- Provide comprehensive administrative support to the Warden, including researching, gathering, and compiling data, preparing written and statistical reports, and offering guidance to staff for projections and recommendations.
- Review, analyze, and draft interoffice memorandums, correspondence, DC-mail messages, and confidential materials for the Warden's approval.
- Interact professionally with staff and the public by responding to inquiries, interpreting rules, regulations, and policies, and referring complex questions to the Warden as needed.
- Assist the Warden and department heads by coordinating information and scheduling for meetings, conferences, seminars, and maintaining the Warden's calendar and event logistics.
- Manage daily office operations, including handling mail and correspondence, answering and directing phone calls, transcribing and distributing meeting minutes, and maintaining all office files and documents in an accurate, current, and secure manner.
- Compile and summarize departmental data into bi-weekly and monthly reports for review by the Warden and submission to the Regional Director.

REQUIRED QUALIFICATIONS:
High School Diploma or its equivalent. Support of knowledge, skills, and abilities should be demonstrated on the application, in the education, in the work experience, in the work sample, in the interview and/or during reference checks.
ADDITIONAL INFORMATION:
BACKGROUND SCREENING REQUIREMENT The Florida Department of Corrections requires all job applicants and volunteers to pass a Level 2 background check as per Chapter 435, Florida Statutes. This check must be completed before they can start working or volunteering.
EMPLOYMENT ELIGIBILITY The Florida Department of Corrections (FDC) only hires U.S. citizens and those authorized to work in the U.S. FDC uses E-Verify to confirm an employee's eligibility to work after completing the I-9 form.
