Office Administrator/ Coordinator
Sunstone Real Estate Advisors, a real estate brokerage focused on manufactured housing & RV communities, seeks a highly organized and self-sufficient Administrative Assistant to support one of our top brokerage teams.
The ideal candidate has a background as an executive assistant or paralegal, is comfortable managing a high volume of email and calls independently and is technologically-savvy across a variety of platforms.
We're seeking a dependable, detail-oriented individual to support the team with email management, lead screening, light transaction coordination, Rethink / Salesforce updates, file management, pitch prep, and travel and scheduling support. The ideal Administrative Assistant will work closely with the Executive Managing Director and his team, works collaboratively with other members of the firm’s back office and brokerage teams, and other executives.
This is a full-time, in office role with core hours of 8:30 AM–5:00 PM (with a lunch break), though responsiveness after hours is expected when deals are time-sensitive. A Florida real estate license is preferred or must be obtained within 90 days of hire.
A day in the life of a successful Administrative Assistant includes, but is not limited to:- Managing and independently responding to routine, high-volume email correspondence
- Fielding lead call-backs, qualifying interest level, and screening out unqualified inquiries along with taking notes in Rethink / Salesforce
- Serving as the first line of defense on with light transaction management, helping ensure deals stay on track
- Saving forwarded attachments and files to the correct folders
- Preparing mapping software and materials ahead of client calls
- Coordinating travel and providing general scheduling support
- Assist in keeping Rethink / Salesforce updated with correct owner information, pipeline statuses, follow up dates, along with general maintenance.
- Highly organized with strong follow-through and the ability to multi-task in a fast-paced environment
- A self-sufficient problem solver who can research and resolve issues independently, but also knows when to ask qualifying questions
- Strong written and verbal communication skills
- Comfortable taking initiative on individual tasks, while working as part of a multi-disciplinary team across larger projects
- Background as an executive assistant, paralegal, or similar highly organized administrative role
- Real estate license, or ability to obtain one within 90 days of hire
- Strong technology skills and the ability to learn new tools/software independently
Availability during core business hours, with responsiveness to urgent matters after hours
