Education:
Bachelor’s Degree in Business Administration, Project Management, Information Technology, or related field. Two years of project coordination experience also acceptable.
The Project Coordinator partners closely with the Lead Technical Project Manager to support delivery of one of the organization’s highest priority strategic initiatives. This role coordinates day‑to‑day project execution, maintains documentation and financial tracking, facilitates communication across cross‑functional teams, and ensures risks, decisions, and action items remain visible throughout the project lifecycle. Highly organized, proactive, and detail‑oriented individuals excel.
Responsibilities Project Planning and Coordination- Support development and maintenance of integrated project plans, schedules, timelines, and Jira boards.
- Coordinate activities across multiple work streams to keep milestones and deliverables on schedule.
- Track progress and provide regular status updates to the team and leadership.
- Monitor cross‑functional dependencies and follow up on commitments.
- Maintain project action logs and ensure completion by agreed deadlines.
- Track project actuals monthly, identify variances, and surface financial or schedule risks to the Lead Technical Project Manager.
- Maintain purchase order and invoice logs, coordinating with Finance and vendors for timely processing.
- Prepare concise budget summaries, executive financial snapshots, and dashboards for stakeholder updates.
- Support monthly and quarterly forecasting by consolidating inputs from workstream leads.
- Manage accrual tracking and ensure accurate coding across cost centers.
- Facilitate communication among project team members, stakeholders, technology partners, vendors, and leadership.
- Prepare and distribute meeting agendas, minutes, action items, and follow‑up communications.
- Maintain documentation such as project plans, status reports, issue logs, risk registers, decision logs, and key approvals.
- Prepare executive‑ready presentations, dashboards, and status summaries that communicate project health, milestones, financials, and risks.
- Coordinate resources, equipment, and project logistics required for success.
- Support resource planning and utilization tracking across work streams.
- Coordinate onboarding for team members, vendors, and partners as needed.
- Support QA activities to ensure deliverables meet quality standards.
- Coordinate reviews, health checks, and audits for continuous improvement.
- Monitor adherence to governance processes and documentation standards.
- Identify risks, issues, and blockers that may impact scope, schedule, budget, or quality.
- Maintain risk and issue logs and coordinate mitigation activities with owners.
- Escalate significant risks and issues to the Lead Technical Project Manager timely.
- Track mitigation plans through resolution and verify completion.
- Coordinate procurement activities, purchase orders, vendor onboarding, invoice processing, and contract documentation.
- Partner with Finance to support monthly close, forecasting, accruals, and financial reporting.
- Reconcile discrepancies across invoices, purchase orders, and budget tools.
- Ensure financial information is accurate, complete, and audit‑ready.
- Build strong relationships with stakeholders across business and technology.
- Act as liaison between stakeholders and the project team to facilitate communication.
- Support executive meetings by preparing materials, coordinating logistics, and capturing decisions and next steps.
- Participate in retrospectives and lessons‑learned sessions.
- Identify opportunities to improve processes, reporting, and team efficiency.
