Job Description:The Donor Engagement and Events Coordinator is directly accountable to the Director of Development, Foundation, for the following duties and responsibilities. The individual filling this position is expected to play a positive role in helping the College change as necessary to effectively carry out its mission. This role oversees the comprehensive planning, logistical coordination, execution, and continuous improvement of all Foundation fundraising, cultivation, and community events.
DUTIES AND RESPONSIBILITIES
Event Management & Execution
- Direct all logistical planning for internal and external Foundation events, including setups and breakdowns
- Coordinate venue logistics, catering, transportation, audiovisual setups, entertainment, and event decorations
- Manage event timelines, vendor contracts, scheduling, and general campus facility usage
- Establish event budgets in coordination with directors, tracking expenses to ensure financial targets are met
- Prepare comprehensive briefing packets for team meetings detailing upcoming event milestones and operations
- Lead post-event debriefs, conducting survey evaluations to implement changes for continuous event improvement
Donor Engagement & Stewardship
- Incorporate meaningful stewardship elements into all events to foster long-term donor and corporate sponsor relationships
- Assist with sponsor activations, ensuring that corporate and private sponsors receive all promised benefits
- Oversee giving societies and donor recognition efforts tied to annual programs and special events
- Collaborate on messaging with Strategic Communications to ensure event collateral aligns with institutional branding
Data Management & Reporting
- Utilize fundraising databases to coordinate event registration, attendee lists, and sponsor tracking
- Maintain event files, transaction records, attendee history, and statistical event reports
- Optimize digital fundraising tools to set up campaign forms and process event-related revenue collections
Collaboration & Organizational Support
- Provide comprehensive office support for ongoing Foundation operations, donor cultivation, and strategic campaigns
- Contribute to an adaptive team environment supporting evolving college and institutional advancement priorities
- Perform other duties as assigned by the Director of Development and/or Executive Director

- Bachelor's degree with one (1) to three (3) years of relevant work experience in event planning or advancement
- Demonstrated computer skills, including proficiency with Microsoft Office Suite and mass email or database tools
- Demonstrated excellence in professional written, verbal, and face-to-face communication
- Detail-oriented mindset focused on delivering flawless, high-quality event experiences under tight deadlines
- Ability to take initiative, solve problems, and handle multiple complex tasks simultaneously with minimal supervision
- Ability to travel within the college's two-county district and work flexible hours, including nights and weekends
