  • Process client invoices and contractor payments
  • Process bi-weekly payroll and employee reimbursements
  • Maintain HR records and assist with benefits administration
  • Coordinate employee onboarding and offboarding
  • Plan and coordinate company meetings, employee events, team lunches, and occasional travel arrangements
  • Prepare and maintain contracts, vendor documentation, and company records
  • Serve as the primary point of contact for day-to-day operational and administrative needs

Additional Responsibilities

In addition to your core responsibilities, you'll also support broader operational initiatives, including:

  • Administer employee benefits, including health insurance and 401(k)
  • Support recruiting efforts, including job postings, interview scheduling, and hiring logistics
  • Manage vendor onboarding and procurement processes
  • Oversee business insurance renewals and compliance documentation
  • Maintain company licensing, tax notices, and administrative compliance
  • Handle banking, deposits, and other financial administrative tasks
  • Identify opportunities to improve internal processes and operational efficiency
  • Support special projects and evolving operational needs as the company continues to grow

Qualifications

  • 2+ years of experience in operations, office management, business administration, HR, or a similar role
  • Exceptional organizational skills with the ability to prioritize multiple projects, meet deadlines, and adapt in a fast-paced environment
  • Excellent written and verbal communication skills
  • Professional, dependable, and able to handle confidential information with discretion
  • A proactive, self-starter who enjoys solving problems, improving processes, and taking ownership of their work
  • Experience with payroll processing and employee benefits administration
  • Experience with bookkeeping, invoicing, expense management, or other financial operations
  • Experience using business software such as Google Workspace, Microsoft Office, Quick Books Online, Gusto, or similar platforms is a plus
